Job Description
Reporting:
Reports directly to Operations Manager
- First Escalations: Distribution Manager
- Second Escalations: Branch Manager
- Third Escalation: District Manager
Scope of Position: Supervises and coordinates activities of workers concerned with
providing work orders & inventory records for distribution accounts.
Responsibilities:
Health and Safety, Security:
Maintains a clean, neat and orderly work warehouse/operation. Assists in maintaining warehouse/operation security as per Expeditors’ requirements. Conducts operations in a manner that promotes safety and in accordance with OSHA and other appropriate standards. Must plan and construct a used maintained workplace environment to protect any person from danger. The distribution assistant manager is responsible to make sure the warehouse/department leads without exceptions meet the following tasks
Daily Huddles at the start of the shift – All meetings need to be documented and signed by the participating employees.
Warehouse appearance – Lead must constantly walk the facility and report any possible hazards on the building.
Forklift Checklist: Lead is responsible to make sure all Forklifts are inspected daily at the beginning of their shift, if any hazards the unit must be tagged and reported for service.
Dispatched SOP Lead is responsible to understand and enforce at all time the ““Shipping Receiving Dispatching SOP – REV 1.0”
Dress Code: Lead is responsible to ensure that everyone on the warehouse follows company policy. All employees need to use steel toe shoes and have a vest while working on the warehouse.
Incident Reporting – All hazard or security Incidents must be reported trough the Expeditors Health and Safety web portal. All reports must be submitted the same day the incident occurred.
Employee Development
Properly on-boards new hires and ensures team members have clear expectations. Provides frequent feedback that is timely, accurate, and honest. Conducts regular one-one-ones and an annual review for employees. Has development plans in place for employees that addresses competency gaps and/or prepares employees for growth. Ensures employees complete 52 hours of relevant training yearly and that required training is completed timely. Fosters a climate of compliance within the team, including to company culture, internal policies and government regulations. Promotes employee engagement and team vision, commitment and trust. Develops a #2.
Operations:
Availability needed 24/7, Assistant Manager needs to be able to respond for any critical situation, emergency or safety related incident for the Distribution Center
Able to communicate on English and Spanish.
Assistant manager is responsible to make sure all Inbound and Outbound activities are processed efficiently and meeting Customer SLAs and commitments. Adjustments on the process to be adjusted and implemented as needed to ensure Compliance with all Rules and Regulations and to ensure Customer Satisfaction
Basic knowledge of the FTZ environment maintaining a close communication with the FTZ and Brokerage teams
Assigns duties and examines work for exactness, neatness, and conformance to policies and procedures
Strong Inventory experience and familiarization of all Inventory procedures. Distribution Supervisor need to be able to maintain a healthy Inventory based on consistency on cycle counts.
Able to research and identify liability for any claims for damages submitted by our Customers. Periodically audit and verification of processed, modify as needed to ensure all processes are compliance with Customs and with Customer requirements
Availability to support other locations and work under stressful situations, transitions and implementations of system and procedures.
Financial Excellence
Has a command of the P&L resulting in meeting revenue growth expectations and control of expenses. This includes monitoring department financial performance (revenue to expense, expense per shipment, etc.), analyzing customer profitability and controlling expenses. Reviews accounts receivable to manage cash flow and to ensure customers are paying within terms. Analyzes billing activity and intercompany accounting.
Customers
Makes introductory contact with new accounts and maintain effective relationships with existing accounts.
Addresses the more complex and non-routine customer issues and requests.
Coordinates new accounts, gathering all necessary information and assigning accounts Organizational chart.
Audits all new account and follows up on responsibilities of the Supervisors to ensure that customer needs have been met.
Retention:
Assists in following-up on current customers and conducting Quality Management Reviews (QMRs). Directs and controls the release of orders to shipping to ensure timely delivery to customers and meet company efficiency goals. Directs and oversees order processing and ensures that data entries on documents such as Delivery Orders and inventory reports are accurate and timely. Makes recommendations to Operations Manager on programs to improve the operation of the customer service function. Interacts with credit and collections personnel regarding payment problems. Reviews records/reports to determine reasons for discrepancies between inventory and stock control records and recommends remedial actions to resolve discrepancies.
Documentation / Reporting:
Maintains up-to-date procedures manual. Tracks on-time delivery and other performance measures. Provides necessary reports to management. Gathers and analyzes data concerning department operations and customer requirements. Distributes reports to various functional areas as required. Makes recommendations to senior management on programs to improve the operation of the customer service function.
Compliance:
Promote compliance in diligently following all company policies and regulations and in being the role model of integrity and pride for all employees.
Proactively communicate with the team to ensure continuous awareness and understanding of policies and regulations.
Maintain a positive relationship with the Trade Compliance Manager and support all compliance efforts and training.
Business Development
Actively grows the product's business and builds customer relationships through involvement in sales and retention programs. Maintains a healthy mix of current customers and manages pipeline of new accounts. Responds to requests for proposal, quotation or information timely and with market-competitive pricing matching the scope of service required by the customer. Actively participates in the transition of new business and acts as a subject matter expert for the product and the industry.
Budgeting:
supervises campus t accounting functions (i.e. Accts. Payable, Accts. Receivable, Customer Invoicing, domestic freight rating, etc.)
Management on Volume fluctuations against headcount maintaining a healthy LPN cost per location.
