Job Description
Responsible for supporting daily warehouse operations, customer account administration, and warehouse management system initiatives to ensure accurate order processing, inventory control, billing, reporting, and continuous operational efficiency.
Key Responsibilities
- Process and manage customer orders, receiving transactions, inventory movements, and shipping activities within warehouse management and ERP systems.
- Generate and maintain operational reports, customer work orders, shipping documentation, inventory records, and other transaction-related paperwork.
- Perform accurate and timely data entry for receiving, order allocation, shipping, inventory management, billing, and transportation rating activities.
- Monitor order status, trace shipments, investigate exceptions, and communicate updates to customers and internal stakeholders.
- Support customer and vendor invoicing processes, ensuring billing accuracy and timely resolution of discrepancies.
- Maintain inventory records, damage logs, backorder reports, and operational documentation.
- Provide warehouse personnel with required system-generated documents and information to support receiving and shipping functions.
- Serve as a point of contact between customers, warehouse operations, transportation providers, and internal departments regarding order status, inventory, invoicing, and service issues.
- Maintain vendor and carrier relationships to facilitate efficient transportation and distribution services.
- Monitor operational work queues and system transactions to ensure timely processing and adherence to internal KPIs.
- Conduct customer account reviews, retention support activities, and CRM documentation as required.
- Support invoice reconciliation and billing exception management, including review of financial and operational reports.
- Ensure compliance with Operational Process Standards (OPS), customer requirements, regulatory guidelines, and company procedures.
Systems & Project Support
- Support SAP EWM implementation, enhancement, and optimization activities, including testing, deployment, and post-go-live support.
- Participate in new site startups, system deployments, network optimization initiatives, and operational transition projects.
- Assist with requirements gathering, process mapping, and solution validation for warehouse and logistics system enhancements.
- Execute system testing activities, including System Integration Testing (SIT) and User Acceptance Testing (UAT), and document results.
- Support configuration, troubleshooting, and issue resolution related to SAP EWM and integrated applications.
- Coordinate data validation, process verification, and operational readiness activities during implementations and upgrades.
- Monitor and escalate system issues impacting warehouse operations and assist in identifying root causes and corrective actions.
- Support integrations between SAP EWM, SAP ECC/S4, Transportation Management (TM), Warehouse Control Systems (WCS), handheld scanners, and EDI platforms.
- Maintain system documentation, SOPs, training materials, and process guides.
- Support post-implementation stabilization efforts and continuous improvement initiatives focused on operational efficiency, inventory accuracy, and service performance.
Qualifications
- Experience with SAP EWM, including warehouse processes, RF functionality, inventory management, and system configuration.
- Knowledge of SAP ECC and/or SAP S/4HANA integration points.
- Understanding of warehouse distribution, logistics, and supply chain operations.
- Experience supporting system implementations, upgrades, testing, and operational process improvements.
- Familiarity with project delivery methodologies, including Agile, Waterfall, and JIRA-based project management.
- Experience with barcode scanning technology, warehouse automation systems (WCS/MFS), and EDI transactions preferred.
- Strong analytical, troubleshooting, and problem-solving skills with the ability to identify and resolve operational and system-related issues.
- Ability to prioritize multiple tasks and support cross-functional teams in a fast-paced environment.
- Strong attention to detail, organizational skills, and commitment to accuracy.
- Excellent written and verbal communication skills with the ability to clearly communicate with customers, vendors, operations teams, and technical stakeholders.
- Proficient in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
- Experience creating and maintaining process documentation, SOPs, reports, and training materials.
- Customer-focused mindset with a sense of urgency and commitment to service excellence.
- Demonstrated ability to work effectively both independently and within a team environment.
- Proven willingness to learn new systems, processes, and technologies.
- Ability to remain effective and professional while managing changing priorities and operational demands.
- Fluent in English.
Education & Experience
- Bachelor's degree in Business, Supply Chain, Logistics, Information Systems, or a related field preferred; equivalent work experience will be considered.
- High School Diploma or equivalent required.
- One or more years of experience in customer service, warehouse operations, logistics, supply chain, distribution, or related operational support roles preferred.
