Job Description
The Security, Health and Safety Specialist is responsible for managing front desk operations while supporting security, safety, and administrative functions across multiple corporate office locations. This role ensures visitor management, access control, security monitoring, and emergency response coordination. The employee will also assist in compliance tracking, calendar management, and vendor support to maintain a secure and organized work environment. This is an in-office position, Monday to Friday, 7am to 4pm position.
Qualifications
Key Responsibilities:
Visitor & Vendor Management
Check in all individuals (employees, visitors, vendors, contractors) and ensure they are registered on the calendar.
Provide access based on predefined access levels for each visitor category.
Use software programs to verify identities and check registrations.
Enforce general visitor policies and escort-only requirements when applicable.
Escalate unexpected visitors or security concerns to the manager, contacting the police in cases of serious threats.
Access Control & Badge Management
Issue and activate badges based on the visitor’s category, ensuring appropriate access levels.
Deactivate badges upon return and follow up with individuals who fail to return badges via email.
Track badge inventory and notify the SHS Manager when supplies need replenishment.
Monitor camera feeds and notify the SHS Manager if individuals enter restricted areas without authorization.
Security Monitoring & Incident Reporting
Document incidents, including unauthorized access attempts or suspicious behavior, in the Daily Activities Report.
Escalating incidents requiring immediate attention from the SHS Manager.
Assist during emergencies and lockdowns, serving as a point of contact with safety wardens to facilitate evacuations and information sharing during incidents such as power loss.
Safety & Emergency Response Support
Participate in safety drills and provide input for improvements as requested.
Assist with onboarding new employees and provide on-site tours including vendors.
Receive First Aid/ CPR training, maintain certification and proficiency.
Administrative & Reporting Duties
Assist in receiving invoices and clarifying discrepancies to ensure only authorized orders are processed.
Manage calendars, providing guests with information about meeting locations and room types as requested.
Periodically assist in completing compliance documents and auditing security and safety protocols.
Any matter outside the purview of this job description will be noted in the D.A.R and escalated to the SHS Manager or Facilities Manager as appropriate.
Qualifications & Skills:
Prior experience in customer service or security, health and safety related roles
Familiarity with security procedures, visitor management, and access control systems.
Strong communication and interpersonal skills to interact with employees, visitors, and security personnel.
Ability to multitask in a fast-paced environment while maintaining professionalism.
Preferred Experience:
Prior experience in security, safety, or facilities management in a corporate setting.
Familiarity with access control systems and security reporting tools.
CPR/First Aid certification or willingness to obtain certification.
Prior experience with emergency response/emergency management
