Job Description
We are currently looking for an Office Coordinator who will
Provide day-to-day administrative support to ensure the smooth operation of the office.
Welcome visitors, guests, and contractors, creating a positive first impression and directing them to the appropriate contacts.
Manage incoming and outgoing correspondence.
Coordinate with external service providers, including cleaning, maintenance, and technical support, to keep the office safe, functional, and well maintained.
Monitor office facilities and equipment and arrange servicing or repairs when needed.
Order and maintain office supplies, ensuring stock levels are always sufficient.
Support office moves, furniture management, maintenance projects, and workplace improvements.
Assist with onboarding new employees and help organize meetings, appointments, and internal events.
Maintain internal communication channels and support general office administration.
Handle day-to-day office inquiries and resolve issues in a professional and timely manner.
Qualifications
- Secondary education or higher.
- Proficiency in English and Portuguese.
- Previous experience in office administration, reception, or a similar support role is an advantage.
- Good digital literacy, including proficiency in Microsoft Office applications.
- Experience in managing department budget.
- Strong organizational skills with excellent attention to detail and the ability to manage multiple priorities.
- A proactive, reliable, and responsible approach to work.
- Comfortable working in a fast-paced environment and adapting to changing priorities.
