Job Description

We are looking for an Office Manager to manage our regions in Malta, Spain, Portugal and UK. 

Key Responsibilities

  • Oversee and coordinate daily office operations across multiple locations, ensuring consistent standards and smooth collaboration between offices.
  • Lead, supervise, coach, and develop the Office Operations Management (OOM) team, ensuring effective communication, productivity, and performance management.
  • Implement and maintain unified office policies, procedures, document workflows, and visitor handling processes, optimizing efficiency through technology.
  • Ensure offices are fully equipped, well maintained, and provide appropriate workspaces; oversee maintenance, repairs, cleaning services, and office equipment.
  • Maintain high levels of internal and external customer service and drive continuous improvement of office services and processes.
  • Manage suppliers and service providers, review proposals, monitor performance, and resolve operational issues.
  • Prepare and manage the office operations budget, control costs, analyze variances, and monitor KPIs and performance metrics.
  • Provide operational coverage during team absences.

This role is located in Malta and is an office based role. 

Qualifications

  • Secondary (higher, special etc.) education.
  • Experience of in Office Management or relevant field.
  • Experience with standard software applications, including MS Office, Windows.
  • Excellent written and verbal English communication skills.
  • Data analysis skills with ability to produce reports, KPIs. 
  • High sense of responsibility. 
  • Effective multitasking and time management skills. 
  • Collaborative work style and commitment to get the job done.
