Job Description

The HR Assistant provides administrative and operational support to the HR function by handling high‑volume, transactional HR tasks. This role ensures accurate HR records, timely employee support, and smooth execution of employee lifecycle processes, allowing the HR team to focus on strategic and value‑adding initiatives.

Recruitment and Hiring Administration

  • Maintain and update applicant and hiring records in the ATS (SmartRecruiters)
  • Upload candidate profiles, photos, interview feedback, and hiring documentation
  • Coordinate interview scheduling and follow-ups with candidates
  • Support job offer processing by tracking approvals and documentation
  • Ensure recruitment data accuracy across HR systems and trackers
  • Always ensure confidentiality and data integrity

Pre-onboarding and Onboarding Administration

  • Manager pre-onboarding documentation (IDs, photos, e-signatures, employment requirements)
  • Create and monitor onboarding tickets (Jira) for new hires
  • Encode employee data into HR and operations systems (e.g.,TTS or equivalent)
  • Coordinate onboarding completion and documentation readiness
  • Support new hire deployment timelines in coordination with Operations

Benefits, Compliance Administration and Employee Records

  • Support HMO enrollment and benefits administration
  • Collect, validate, and submit benefits documentation
  • Follow-up on missing or incomplete requirements (HMO and Payroll Account)
  • Monitor and release of Payroll ATM Cards
  • Monitor completion of mandatory trainings (EvoLearning)
  • Maintain trackers for referrals and compliance deadlines
  • Support and assist in 201 filing including creation of digital copies of 201 files
  • Support in filing of employment contracts, onboarding documents, disciplinary records, performance documents, and offboarding records

HR Communication and Employee Support

  • Serve as first point of contact for routing HR inquiries via email, chat, or internal platforms to employees
  • Respond to employee requests related to documents and onboarding status
  • Escalate complex or sensitive cases to HR Generalist when needed

Engagement and Events Execution Support

  • Provide administrative and logistical support for HR events and engagement initiatives
  • Assist in preparing materials, coordination with vendors, and on-site execution
  • Support visual and communication needs (posters and internal announcements) under HR direction

General HR Support

  • Provide ad-hoc administrative assistance to the HR team during peak periods
  • Maintain trackers, reports and documentation as required

Role Impact

This role ensures smooth execution of HR operations, reduces administrative bottlenecks, and strengthen HR service delivery during peak hiring and onboarding cycles. By absorbing transactional workload, the HR Administrator enables HR Generalists to focus on strategic HR initiatives, hiring quality, employee engagement, and organizational effectiveness

Qualifications

  • Bachelor’s degree in Human Resources, Business Administration, Psychology, or related field
  • At least 1 year experience as an HR Assistant, HR Administrator, or similar role preferred
  • Experience supporting recruitment and onboarding processes is an advantage
  • Proficient in MS Office and comfortable working with HR systems and trackers
