We are looking for an Executive Assistant who will support our CEO and CSO. This role requires a combination of administrative, organizational, and interpersonal skills to ensure the smooth operation of their daily activities and ensure that the overall office environment functions efficiently. The ideal candidate is a take-charge professional, who can manage an extremely busy workflow and prides themselves on supporting a dynamic executive.  This role is full-time on site in our offices in Santa Monica. 

Job Description

What you’ll do: 

  • Arrange complex and detailed travel plans, itineraries, and compile documents for travel-related meetings 

  • Complete a broad variety of administrative tasks 

  • Manage the calendar of appointments 

  • Complete expense reports and Amex reconciliation 

  • Compose and prepare correspondence 

  • Maintain executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences 

  • Communicate and/or coordinate executive’s instructions and desires with various individuals and/or departments and initiates follow-up action 

  • Maintain high level of professionalism and integrity as a team player and possess the ability to work for and communicate in various forms with managers, supervisors, external clients and vendors with minimal daily supervision. 

  • Assert discretion and professionalism when given access to confidential and/or private information

Qualifications

What you have: 

  • Bachelor’s Degree (Preferred) 

  • Minimum 2 years experience in an Executive Assistant role for a c-suite executive

  • Upbeat, personable and professional attitude 

  • Strong verbal/written communication skills are essential 

  • CA driver’s license and good driving record required 

  • Strong organizational skills and the ability to work effectively with a team are required 

  • Being able to multitask is a must 

  • Proficient in computer skills, especially Microsoft applications 

  • Ability to establish priorities independently 

Additional Information

This is a full-time in-office position in our beautiful offices in Santa Monica, CA.  We offer a great package including PTO, benefits, 401K, and holidays.  Compensation $70,000-$80,000 DOE
