Job Description

Eurofins Experchem Laboratories, Inc. is seeking a detail-oriented and organized Shipping, Receiving & Maintenance Coordinator to join our team in Toronto, Canada.

Key Responsibilities

• Receive, inspect, and document incoming client samples, laboratory supplies, chemicals, equipment, and vendor deliveries using applicable systems and documentation processes.
• Process receipts and maintain purchase order records within Coupa and other procurement platforms.
• Verify shipments against packing slips, purchase orders, chain of custody documentation, and system records.
• Coordinate with laboratory teams, vendors, and procurement teams to resolve receiving discrepancies and invoice matching issues.
• Maintain accurate inventory, receiving, and shipment records within inventory management and procurement systems.
• Generate shipping documentation, labels, courier requests, and tracking records using shipping and logistics platforms.
• Monitor and update shipment status through courier portals and internal tracking systems.

Purchasing & Procurement Support

• Support purchase requisition creation, goods receipt activities, and procurement workflows through Coupa and other company purchasing systems.
• Coordinate with vendors and internal stakeholders regarding deliveries, backorders, pricing inquiries, and order status updates.
• Assist with vendor management activities and maintain procurement documentation in accordance with company procedures.
• Support inventory forecasting and replenishment activities to maintain uninterrupted laboratory operations.

Success Measures

• Timely and accurate processing of purchase orders, goods receipts, and inventory transactions in Coupa and related systems.
• Accurate inventory records with minimal discrepancies.
• Effective coordination of inbound and outbound shipments with complete traceability.
• Strong vendor and contractor coordination resulting in uninterrupted laboratory operations.
• Maintenance of procurement, inventory, and shipping documentation in an audit-ready state.

Qualifications

• Experience using Coupa or similar procurement and purchasing platforms is preferred.
• Familiarity with inventory management systems, warehouse software, and shipping platforms (FedEx, Purolator, UPS, DHL, etc.).
• Experience processing purchase orders, goods receipts, inventory transactions, and vendor documentation.
• Strong computer skills, including Microsoft Office applications and enterprise business systems.
• Ability to maintain accurate records and documentation within regulated environments.

Working Conditions & Physical Requirements

• Regular work schedule of Monday through Friday, 9:00 AM to 5:00 PM.
• Work is performed in a combination of laboratory, warehouse, shipping/receiving, storage, and facility environments.
• Requires frequent standing, walking, bending, reaching, climbing stairs, and manual material handling throughout the workday.
• Requires the ability to safely lift, carry, push, and pull materials weighing up to 50 lbs.
• Regular handling and movement of client samples, chemicals, laboratory supplies, inventory, equipment, packages, pallets, and facility materials.
• May involve occasional use of ladders, pallet jacks, hand tools, and material handling equipment.
• May occasionally be required to work outside regular business hours to support emergency repairs, maintenance activities, equipment installations, or operational requirements.
