Job Description

Position Summary:

The Shipping Coordinator will be supporting client's Analytical Development (AD) organization by serving as the primary on-site coordinator for non-GMP sample management and shipment activities in Lexington. This individual is responsible for overseeing the end-to-end shipment process, managing sample inventory, coordinating shipments across client organization and external partner sites, and ensuring timely and compliant sample delivery to support analytical testing activities. The role requires strong organizational and communication skills, close collaboration with Analytical Development leads and laboratory personnel, and the ability to manage multiple shipment requests while maintaining accurate records and inventory controls.

This is a full-time, on-site position, with coordination of backup coverage to ensure continuity of operations.

Essential Duties and Responsibilities:

  • Serve as the primary on-site coordinator and point of contact for all non-GMP sample management and shipment activities in Lexington.
  • Coordinate the shipment of samples within the client's network and to external partner facilities to support analytical testing and development activities.
  • Oversee the end-to-end shipment process, including shipment requests, completion of required documentation, shipment preparation and coordination, and confirmation of sample receipt.
  • Ensure all shipments are executed in accordance with applicable transportation requirements, client procedures, and expectations.
  • Collaborate closely with Analytical Development leads, laboratory personnel, and other stakeholders to prioritize shipment requests and meet project timelines.
  • Monitor shipment status, track deliveries, and proactively address issues or delays to ensure timely sample arrival.
  • Maintain accurate inventory, shipment, and tracking records using applicable inventory management and tracking systems.
  • Communicate shipment schedules, status updates, and inventory information to internal and external stakeholders in a timely and professional manner.
  • Adhere to all applicable safety, quality, and operational procedures while maintaining a high level of organization, accuracy, and attention to detail.
  • Support continuous improvement initiatives by identifying opportunities to enhance sample management, inventory control, and shipment processes.
  • Perform other duties as assigned.

Qualifications

Basic Minimum Qualifications:

  • Associate's or Bachelor's degree
  • At least 6 months of experience coordinating shipments, logistics, sample management, laboratory operations, or related activities.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Demonstrated attention to detail and record-keeping accuracy.
  • Ability to work effectively across functions and communicate with a broad range of stakeholders.
  • Proficiency with Microsoft Office applications and inventory or tracking systems.
  • Understanding of shipment logistics and transportation requirements for laboratory samples.
  • Must be eligible to work in the United States permanently without restriction or sponsorship

Preferred Qualifications:

  • Associate's or Bachelor's degree in a scientific, logistics, supply chain, or related discipline preferred.
