Job Description

The Divisional Support Services Manager position will be responsible for managing the performance of individuals and the team to produce motivated and satisfied employees while also maintaining all aspects of the Office Services and Billing & Reporting support departments.  The position will require management of the document control process, data book creation, telephone operator duties, and general office support functions. In addition the position will require the management of records for the company; maintaining an accurate, up-to-date archive system for all departments. As the manager overseeing these departments, responsibilities also include management of all aspects of billing & reporting department operations. The Divisional Support Services Manager will oversee Collections and Credit Analysis for current and prospective clients, as well as components of the billing process for several businesses units while working towards the reduction of overdue accounts and maintenance of the cash collections cycle.

Essential Duties and Responsibilities: 

  • Applies GMP/GLP in all areas of responsibility, as appropriate
  • Manage the document control and office support functions for the company. 
  • Demonstrates and promotes the company vision
  • Regular attendance and punctuality
  • Ensure that the quality policy program is understood, implemented, and maintained at all levels of the organization; identify, prevent, or correct any departures from the quality system
  • Develop efficient and effective operations and systems that support the strategic goals of the company
  • Identify and evaluate issues and explore continuous improvement initiatives
  • Manage scheduling of work
  • Manage scheduling of personnel; evaluate personnel performance
  • Participate in interview process, make recommendations for new hires; train and develop staff
  • Review, prepare, and approve methods, data, and SOPs
  • Investigate and solve support group problems
  • Develop motivated and satisfied employees
  • Encourage employee participation in Process Improvement
  • Oversee inventory, maintenance, and repair of departmental machines, tools, equipment, materials, and/or products
  • Maintain client confidentiality
  • Overseeing Group Leader to maintain daily activity of the Bio/Pharm billing and collections areas
  • Meeting regularly with project management teams to address overdue accounts 
  • Determining credit for existing and prospective clients
  • Maintaining quality and compliance in order to meet client requirements providing updated reports, as necessary
  • Perform all functions in support of and in compliance with all state and federal employment regulations
  • Conducts all activities in a safe and efficient manner
  • As Records Manager, ensures that the archiving tasks are completed per procedure 

Qualifications

Basic Minimum Qualifications: 

  • Associate's or Bachelor's degree in business
  • Requirement of a minimum of 5 years related experience, with previous supervisory training and experience preferred
  • Extensive knowledge in the use of different computer software packages including Microsoft Office Word, Excel, PowerPoint, Adobe or Nuance pdf with file conversion, database aspects
  • Previous experience in management of personnel, conflict resolution, and performance correction and performance planning
  • High attention to detail and tolerance for stressful situations
  • Ability to perform role with integrity, high touch communication both verbally and written
  • Ability to perform multiple tasks simultaneously;  independently developing solutions to complex problems

Additional Information

Position is full-time, Monday-Friday, 8 a.m.-5 p.m., with overtime as needed.
