Job Description

Eurofins is looking for an Office Administrator to join our Office Management team.

The successful candidate with report to, and work closely with, the Office Manager and will support all office and facilities management and administration activities.

The overall objective of the Office Administrator is to coordinate office activities and operations to ensure the efficient running of the office. 

Key responsibilities:

  • Answer phones and forwarding calls as and when required.
  • Act as a gateway to management and employees to ensure only necessary calls are put through.
  • Managing post and courier services – both incoming and outgoing and maintaining records of special deliveries.
  • Meet and greet guests and visitors to the office in a friendly and professional manner – offer refreshments and assistance as required.

Office administration duties including but not limited to:

  • Scheduling and arranging meetings as required - book meeting rooms, arrange refreshments and prepare any required documentation.
  • Photocopying, filing and participating in the planning and execution of office events and activities.
  • Managing car-parking app and employee registrations.
  • Maintaining stock list and orders of office supplies, making sure to adhere to Purchase Order and other Financial reporting requirements.
  • Developing positive working relationships with internal customers and external suppliers and service providers.

Qualifications

Qualifications and experience:

  • 1 – 3 years’ experience in a similar role is essential.
  • Qualification in Secretarial Studies, Office Administration Studies or in a relevant discipline would be a distinct advantage but is not essential.

Key competencies:

  • Strong attention to detail and excellent interpersonal skills.
  • Exceptional communication skills, both written and verbal.
  • Strong understanding for the need for discretion in this role is a must.
  • Strong record keeping skills and excellent time management and organisational skills
  • Ability to work both independently and as part of a team.
  • Strong problem solving and analytical skills.
  • Practical can do attitude.
