Job Description

Eurofins Test America is searching for a Project Management Assistant I-III in Phoenix, AZ.

The Project Management Assistant (PMA) I-III supports the Project Management staff in servicing clients to meet the Client Service Organization mission. The PMA II and III are more senior than PMA I and will require greater client interaction which may include managing small, non-complex projects with PM oversight.

Project Management Assistant I-III responsibilities include, but are not limited to, the following:

·         Project set-up:

·         Creates bottle orders

·         Schedules courier or field sampler, if needed

·         Confirms non-Eurofins TestAmerica subcontract labs are on the approved list and set up as vendors for existing work

·         Generates JDE requisition when sending subcontract samples

·         Setup project per PM guidance/instruction

·         Add any project notes (special reporting/invoicing instructions, etc.)

·         Review any project documentation (permits, SOW, QAPP, purchase/task order)

·         Add any project documentation to central repository (permits, SOW, QAPP, purchase/task order)

·         Set up client for Total Access

·         Manages purchase orders, task orders, contracts, and change order requests

·         Verifies that lab certification meets project requirements

·         Verifies that lab compound lists and limits meet project requirements for new quotes

·         Verifies that lab compound lists and limits meet project requirements for new projects not quoted

·         Adds any project specific limits and lists to LIMS

·         Deliverable assignment and delivery route

·         For new quotes, confirms that EDD format is available (deliverable assignment and delivery route). If new format is needed, submits a help desk ticket

·         Sample Receipt:

·         Reviews log-in

·         Generates subcontract paperwork

·         Sends client sample receipt confirmation

·         Reviews draft invoice

·         Reporting:

·         Review reports and EDDs before issuing to the client

·         Confirms correct report format and EDD format is used

·         Creates and issues final report by client due date

·         Issues final data package

·         State reporting forms and submission

·         DMR Forms

·         EDD checkers

·         Invoicing:

·         Reviews final invoice before issuing to client

·         Generates credit/debit memos as needed

·         Submits credit/debit memos for approval

·         Submits approved credit/debit memos to client, if needed

The ideal candidate would possess:

·         General mathematics

·         Basic Knowledge of Laboratory LIMs

·         Ability to file maintenance/organization

·         Proven client service skills

·         Attention to Clients: Demonstrates a desire to understand customer needs; listens to what customers are saying and asks questions as appropriate; demonstrates awareness of client goals. Follows up with clients during projects and following project completion; keeps clients up to date about decisions that affect them; seeks the comments, criticisms and involvement of clients; adjusts services based on client feedback.

·         Technical Familiarity: Seeks information from a variety of sources in a variety of ways to respond to client’s technical questions about the project and to effectively communicate project status.

·         Strong computer, scientific, and organizational skills

·         Ability to work independently and as part of a team, self-motivation, adaptability, and a positive attitude

·         Ability to learn new techniques, perform multiple tasks simultaneously, keep accurate records, follow instructions, and comply with company policies

Qualifications

Basic Minimum Qualifications:

B.S. or B.A. degree Preferred, not Required

Ability to work independently and as part of a team in a fast paced, multi-tasking environment that is a client oriented laboratory. Ability to focus on details, perform data entry accurately, answer the telephone, follow instructions and meet stringent deadlines with a smile.

1-3 years business experience required

Minimum of 1 year experience as a PMA 1 level or comparable client-service experience for PMA II or III

Prefer bench chemist experience

Authorization to work in the United States indefinitely without restriction or sponsorship
