Job Description

Basic Function and Scope of Responsibility: 

The Project Data Coordinator is primarily responsible for the preparation, coordination and delivery of all project related resources and materials related to study data.

 Essential Job Duties:

 Level I - Minimum

  • Accurate and efficient data entry for clinical trial lab orders that arrive daily, including review and release of lab orders
  • Strict adherence to lab and clinical trial protocols, procedures, and work instructions
  • Learn and master Laboratory Information System and Sample Storage System, including setting up both systems for clinical trials and providing maintenance
  • Trouble shoot and resolve clinical trial sample issues by working with department team, lab, and clients
  • Perform internal audits on clinical trial and sample storage data
  • Write clinical trial work instructions per study protocol and data specification requirements
  • Complete data transfers and exportation of results as assigned
  • Train clients on company web-based reporting system
  • Provide kit construction and shipping
  • Purchase supplies and perform billing function for kits and clinical trial fees
  • Represent department and the organization favorably and in accordance with established Company standards and associate attributes at all times
  • Other duties as assigned by management

Level II - Fully meets responsibilities of Level I plus the following:

  • Work under little supervision with great latitude for independent judgment relating to processes and systems
  • Write Standard Operating Procedures based upon BioPharma processes and requirements
  • Willingness to bring innovative ideas to projects and develop processes
  • Demonstrates a high degree of initiative, creativity and problem solving in daily tasks
  • Firm understanding of how functions and programs impact the financial plan
  • Keep current on the industry, legal trends, regulatory and compliance requirements
  • Demonstrate leadership skills through the coaching and mentoring of others as required

Essential Knowledge, Skills and Abilities:

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred
  • At least 1 year experience in medical/laboratory/pharmaceutical industry
  • Customer service focused with professional demeanor
  • Ability to prioritize tasks based on business needs
  • Ability to multi-task
  • Goal oriented, with excellent time management and organizational skills
  • Excellent interpersonal skills, with ability to interact effectively and work efficiently with people at all levels in an organization
  • Excellent verbal & written communication skills
  • Keenly attentive to detail
  • Ability to keep sensitive information confidential
  • High level of proficiency with PC based software programs, including but not limited to MS Excel, and Outlook

Level II – Fully meets the qualifications of Level I plus the following:

  • 2+ years experience in medical/laboratory/pharmaceutical industry
  • Work with minimum supervision on highly complex projects   
  • Advanced problem solving skills
  • Demonstrate a high degree of initiative and creativity

Physical Requirements:

  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead
  • Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting
  • Ability to stand for extended periods of time as necessary in the laboratory (4 or more hours)
  • Ability to lift and move items weighing up to 15 pounds
  • Physical dexterity sufficient to move body frequently around laboratory equipment and instrumentation
  • Ability to continuously operate a personal computer for extended periods of time (4 or more hours)
  • Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions
