Job Description
The Project Operations Coordinator provides operational and administrative support for Pharmacovigilance (PV) technology consulting, system implementation, and managed services projects. This role is responsible for coordinating project setup, supporting contract administration, facilitating client onboarding and offboarding, monitoring project documentation and resource utilization, and ensuring project activities are executed in accordance with organizational standards. The Project Coordinator works closely with Project Managers, Operations, Finance, Delivery, and clients to support the successful execution of multiple concurrent projects.
Role and Responsibilities
- Support contract authoring and project documentation throughout the project lifecycle.
- Coordinate project setup activities, including creating projects in project management and time-tracking systems (e.g., Harvest) and ensuring project information is complete and accurate.
- Coordinate client onboarding activities at project initiation and client offboarding upon project completion.
- Track work order and contract end dates and notify Project Managers and leadership of upcoming renewals, extensions, or change orders.
- Monitor weekly timesheet submissions to ensure accurate recording of billable and non-billable hours and compliance with project utilization plans.
- Follow up with Project Managers to validate resource utilization and resolve timesheet or allocation discrepancies.
- Maintain project documentation, project trackers, status reports, and operational records.
- Coordinate with Operations, Finance, Human Resources, and Delivery teams to support project execution and operational activities.
- Support resource scheduling and project administrative activities as assigned.
- Serve as a backup Project Coordinator across client implementation, managed services, or consulting projects as required.
- Ensure compliance with organizational project governance, documentation standards, and operational processes.
Qualifications
Bachelor's degree in Commerce, Business Administration, Finance, or a related discipline; MBA in Finance is preferred.
- 3+ years of experience in project coordination, PMO, project administration, or project support within an IT consulting, life sciences, healthcare, or pharmaceutical organization.
- Experience supporting software implementation, consulting, or managed services projects is preferred.
- Familiarity with project management and time-tracking tools such as Harvest, Microsoft Project, or similar platforms.
- Proficiency in Microsoft Office Suite, with strong Microsoft Excel skills.
- Experience working in a client-facing consulting or professional services environment is preferred.
- Familiarity with Pharmacovigilance systems such as Oracle Argus Safety, ARISg, Veeva Vault Safety, or similar platforms is preferred
- Understanding of project lifecycle management and PMO best practices is preferred
- Excellent communication and interpersonal skills
- Excellent organizational and coordination skills with the ability to manage multiple projects simultaneously.
- Strong Microsoft Excel skills.
- High attention to detail with the ability to manage project documentation and operational records accurately
- Strong written and verbal English communication skills.
