Ergomed is continuing to expand and is looking for a Contracts Associate to join our dynamic and rapidly growing organization.

Job Description

  • Ensure tracking, drafting and negotiation of accurate, legally binding, and effective client agreements that protect interests of Ergomed
  • With oversight from the Director of Proposals, draft the initial contracts and/or amendments with the information received from Operations, Commercial as well as the Proposal and Budget Development team
  • Support client calls to facilitate smooth negotiation when required
  • Engage in direct client communication on small to mid-sized opportunities
  • Administer contracts and change orders/amendments ensuring compliance with company policies acting as focus point for all communication with Legal, Finance, and Operations, and Commercial Disciplines for resolution of contract issues
  • Ensuring all contractual documents and budgets undergo quality check and review
  • Process final approved contract documents for signature; electronically via DocuSign or physically ensuring that the right stakeholders are engaged and informed timely with the background information provided
  • Liaise with Project Managers, Finance and Analyst to investigate budget variances. Initiate and/or review proposed contract modifications and negotiate or refer to other internal departments for review as appropriate
  • Provide regular updates to Director of Proposals of the status of contract negotiations
  • Support Legal team in updating contract templates by providing information on the latest commercial terms agreed as well as input on the most negotiated clauses 
  • Track contract expiration dates and proactively prepare amendments for an extension if applicable
  • Update the sales tracking database
  • Archive all contracts to an electronic database(s) as well as physically archive if applicable
  • Perform checks at pre-determined frequency against archive and tracking database to ensure all is aligned
  • Ensure all fully executed contracts are distributed to the relevant parties
  • Working independently under time pressure to meet tight deadlines. Must be able to manage workload and prioritise activities to ensure timely completion of assignments

 

Qualifications

  • Ideally a bachelor’s degree in Life Sciences or Business Management and a minimum of 1-2 years of work experience in a similar industry
  • Strong initiative to learn
  • Strong English written and oral communication skills
  • Competent in Microsoft Word and Excel to intermediate level
  • Proven ability to work well under pressure, managing multiple projects simultaneously to meet deadlines
  • Ability to manage relationships and communicate with senior managers and directors SalesForce experience is desirable but not essential
