Job Description
ROLE OVERVIEW
We're looking for a highly organized, proactive, and discreet Executive Assistant to provide dedicated administrative and operational support to a CEO overseeing multiple business ventures, including a technology company and a fashion brand. This is a hands-on role focused on enabling the CEO to operate efficiently across her businesses by managing day-to-day executive operations, coordinating priorities, and ensuring timely execution of tasks. While primarily internal-facing, the EA may occasionally assist with client or stakeholder correspondence.
KEY RESPONSIBILITIES
Executive & Administrative Support
- Manage the CEO's calendar across multiple businesses, scheduling meetings and coordinating priorities.
- Prepare meeting agendas, briefing materials, and documentation; record and circulate minutes, tracking action items to completion.
- Handle incoming and outgoing correspondence — emails, letters, and calls.
- Draft, edit, and proofread executive communications, reports, and presentations.
- Handle confidential and sensitive information with the highest discretion.
- Serve as a key point of contact between the CEO, internal teams, and external stakeholders where required.
Project & Task Coordination
- Track deadlines and deliverables on behalf of the CEO; coordinate with internal teams to ensure commitments are met.
- Help organize internal workshops, onboarding sessions, and training activities.
Travel & Event Coordination
- Arrange travel itineraries, accommodation, and logistics for leadership.
- Plan and coordinate internal events, meetings, and conferences.
Documentation & Office Operations
- Maintain organized records and documentation in line with internal standards.
- Support day-to-day office administration.
Social Media & Content Support
- Assist with managing the CEO's social media handles — drafting posts, monitoring engagement, responding to comments/messages, and staying current on trends.
Cross-Business Coordination
- Provide administrative and operational support across the CEO's business portfolio.
- Help coordinate meetings, projects, and communications across the various enterprises.
Qualifications
REQUIREMENTS
- Bachelor's degree in any discipline.
- 1–3 years of experience in an administrative, EA, or PA role (or similar).
- Excellent written and verbal communication skills.
- Strong organizational skills with keen attention to detail.
- Proficiency in Microsoft Office / Google Workspace (calendar, docs, slides, email).
- Discretion and professionalism in handling confidential matters.
- Ability to multitask and prioritize in a fast-paced environment.
- Experience managing social media handles is an advantage.
