Job Description

Under the supervision of the Service Center Manager, Sr. Service Center Manager, Service Center Manager the Shipping and Receiving Supervisor oversees the coordination and support for the efficient operations of the Service Center. The Shipping and Receiving Supervisor interfaces frequently with peers, managers, and customers. The Shipping and Receiving Supervisor ensures accuracy in all data entered in relation to the service center’s operation while maintaining compliance with applicable Federal, State, and Local Department of Transportation regulations as well as compliant with all policies, practices and procedures. Oversight and responsibilities will vary based on service center level and location.

Primary Responsibilities (Essential Functions):

Shipping

  • Ensures all 24-hour advance notice calls to customers within assigned territories to inform them about next day service.
  • Confirms that coordinators communicate any order changes as needed.
  • Verify outgoing shipments of supplies, equipment and materials are completed compliantly.

 

Receiving

  • Verify incoming shipments of supplies, equipment and materials are completed compliantly.
  • Oversees the compliance of manifests and billing packets at the facility.  
  • Confirms order updates which add to any required Transportation, Supplies, or Demurrage charges once the waste and documentation arrive at the facility

 

Service Center Coordination

  • Manages 10-day log from supervisor following the daily yard walk, reviews the log against the manifests tracking system and reconcile the reports, and make copy and fill out form using current day’s data
  • Oversees the management of inventory and ordering office supplies, including personal protective equipment (PPE) using our internal ordering website and obtain proper approvals.
  • Review Drivers’ data submitted via an electronic logbook to ensure compliance with DOT regulations for hours of service and other compliance requirements, verify information and notify Transportation Supervisor or Manager of any violations.
  • Maintain and compile information from drivers’ load sheets into one daily report to allow for accurate inventory of warehouse supplies.
  • Reviews or compiles data and reports to manage the logs and operational efficiency and to support decision making to include information about labor hours, equipment usage, consumption of material, quality control, types and quantities of labor and other aspects of operations.
  • Ensures the maintenance of electronic and paper files, rosters, contact lists; accurately update files, reports, spreadsheets and documentation; sort and distribute mail.

 

Leadership & Strategy  

  • Provide support to the service center by coaching and developing their direct reports through continuous coaching and feedback on performance, and conduct performance appraisals for their direct reports, ensuring alignment with company goals and regulatory requirements. 
  • Makes recommendations on salary adjustments, promotions, transfers, and dismissals within their service center in partnership with their Service Center Manager(s), District Service Center Manager, and HR Business Partner. 
  • Participate in the recruitment and hiring of shipping and receiving employees.
  • Conducts regular meetings such as daily tailgates to keep their teams informed of current issues and events, procedural/operational changes, and new developments in the department and Company. 
  • Accountable to provide on-the-job training and instruction to ensure training compliance. 
  • Provide technical support to shipping and receiving staff and assist in the content development and deployment of technical training. 
  • As a continual learner, stay updated on regulations and industry developments. 

 

Safety, Security, and Compliance

  • Supports Safety and Security initiatives at service centers within their service center.
  • Stay updated on changes in safety and compliance regulations at service centers within their assigned region.

Performs other related duties and/or project work as required or requested.

Work Environment: 

  • Must be able to work in a busy, often distracting work environment that is generally climate controlled.
  • Ability to work in a fast-paced environment with tight deadlines and multiple project deliverables.
  • Ability to reliably attend work during scheduled hours on a regular basis.
  • Ability to sit for long periods of time.
  • Ability to occasionally lift and carry up to 20 pounds.

Qualifications

Education

  • High School Diploma required, some college or associate’s degree in a related field preferred, or can demonstrate related equivalent work experience. 

Experience

  • 2+ years of experience providing administrative tasks and office management
  • 2+ years of proven leadership experience. 
  • Experience utilizing transportation management software systems, knowledge of DOT regulations and standards, and understanding of transportation logistics and planning is preferred.
  • Experience using Salesforce, Preview, SPAK, and Steriwise, or similar systems is required.
  • Experience with CORE and Intelligent Document Processing (IDP) is a plus.
  • Experience in management of a shipping and receiving department is preferred.
  • Experience in hazardous waste management is preferred.
  • Understanding of the waste management industry is a plus.

Customer Service & Commercial

  • Ability to interact with customers and manage SLAs and relationships preferred.
  • Ability to effectively work with and influence team members at the service centers in their region and those at other departments.
  • Basic verbal and written communication skills are required.

Administrative Skills

  • Intermediate knowledge of Microsoft Office Products: Word, Excel, and Outlook.  Ability to create simple spreadsheets with formulas and functions.
  • Ability to analyze data is preferred.
  • Attention to detail in work tasks and documentation is required.
  • Proven ability to organize and prioritize tasks to meet deadlines is required.
