Role Overview - Workplace Coordinator (São Paulo)

The Workplace Coordinator owns the day-to-day delivery of a safe, secure and seamless workplace experience in São Paulo. This role is hands-on and action-focused, combining workplace operations, safety leadership, colleague experience and vendor management.

You will take ownership of workplace standards, resolve issues directly where possible and drive a proactive culture of safety, accountability and continuous improvement across the office.

Workplace Experience & Operations

  • Own the daily workplace experience, ensuring the office runs smoothly, professionally and without friction

  • Act as the primary on-site Workplace presence, making decisions and resolving issues in real time

  • Manage visitor journeys end-to-end, maintaining a secure and welcoming environment

  • Coordinate and deliver new starter readiness including access, workspace setup and day-one support

  • Maintain high standards across meeting rooms, collaboration spaces and shared environments

  • Conduct regular workplace walk-throughs and take immediate action to resolve issues

Security & Safety Leadership

  • Take ownership of day-to-day workplace security practices including access control, visitor management and contractor activity

  • Lead by example in promoting a strong safety culture across the office

  • Act as a key responder during incidents, supporting evacuation processes and workplace recovery

  • Ensure contractors operate safely on site, reviewing RAMS and challenging unsafe practices where needed

  • Identify risks early and implement practical solutions to reduce exposure

  • Maintain clear understanding of emergency procedures and ensure workplace readiness at all times

Supplier and Workplace Coordination

  • Own relationships with local vendors including cleaning, maintenance, security and building management

  • Coordinate planned and reactive maintenance, ensuring issues are resolved quickly and to a high standard

  • Monitor service quality and drive improvements where expectations are not met

  • Manage courier, logistics and postroom activity to support business operations

  • Maintain stock levels across kitchens, stationery, meeting rooms and workplace supplies

Administration & Systems

  • Raise and manage purchase orders, invoices and supplier coordination activities

  • Use CAFM systems including Concerto, ServiceNow and Infraspeak to track and deliver workplace actions

  • Maintain accurate operational records and ensure workplace tasks are completed efficiently

  • Support local workplace communications and engagement initiatives

Health, Safety & Compliance

  • Take active ownership of local workplace health and safety standards

  • Act as Fire Warden / Evacuation Support and maintain readiness for emergency scenarios

  • Participate in First Aid training where appropriate

  • Drive safe working practices through visibility, coaching and practical action on the ground

Qualifications

  • Must have excellent written and verbal communication skills 

  • Must be fluent in English & Portuguese

  • Must be proficient in raising purchase orders 

  • IOSH qualification or equivalent preferred  

  • Previous experience in large corporate environment preferred 

  • Must be able to present to stakeholders at all levels 

  • Proficient in Microsoft Office 365 suite
