Job Description

Procurement

  • Qualify vendors with the best quality/price/lead times
  • Work with vendors using drawings, parts, etc. to assure parts are being quoted/made to standards
  • Notify AP of new vendors or changes to vendors and complete any necessary paperwork
  • Forward all incoming vendor invoices
  • Check ERP system daily for PO suggestions and create PO’s as required
  • Follow up on open PO’s to confirm established completion dates & attend to vendor questions
  • Work with vendors on outstanding invoices, as needed
  • Generate replenishment, job and subcontract PO’s in ERP System (to be approved by Purchasing Manager)

Production/Job Planning

  • Set-up new parts, assembly and capital jobs in ERP system and manage any updates/changes to job orders
  • Work with Shop Manager on needs for jobs being completed – find vendors, order parts, etc.
  • Structure methods of manufacturing in ERP system (make sure employee times are entered correctly, add operations & materials to jobs), review costing when job is complete for accuracy prior to closing by accounting
  • Manage job and manufacturing process to ensure on time delivery to internal/external customers

Office Administration Duties

  • Maintain proper JSOX documentation & reporting processes (scan and send documents to Bevcorp main office as req’d)
  • Review/approve employee time in ERP system. Adjust times when needed. Track and report employee PTO
  • Replenish office, shipping and inventory supplies as needed
  • Onboard/train new employees as needed
  • Answer phones, speak with vendors & customers to resolve issues as needed
  • Assist in preparing proposals for capital projects (i.e. seamers, change parts, tables, assemblies) – set up sales order & job in ERP system.  Arrange shipment of seamers and handle incoming seamer acquisition and job processes
  • Work with shop and office employees, as needed, when they have issues with phones, tablets, computers, etc.
  • Support Director of Seamer Operations as needed
  • Participate in weekly roundtable and other group meetings
  • Maintain proper selling price margins in ERP system. Check on price/availability as needed for quotes/orders
  • Back-up to Inside Sales & Service and Inventory & Shipping personnel

Qualifications

  • Bachelor’s or Associate’s Degree with a focus on business or manufacturing preferred
  • 5+ years of general office experience in a manufacturing environment
  • Proficient in Microsoft Office products
  • Experience working with ERP purchasing, scheduling and job management systems
  • Experience in manufacturing processes and job management
  • Experience reading and understanding engineered drawings a plus
