Job Description
Manage service sales order process from quote to job close to make sure procedures are being followed and departmental timeline goals are met; provide support and assistance as needed
Maintain and update departmental SOP’s as needed
Manage, measure and report status of open service sales orders on a monthly basis – making sure open orders and related jobs are processed and closed promptly
Lead departmental growth and improvement initiatives while working directly with Service Manager
Manage and direct all training documentation logs for department (Skills & Achievement Reviews)
Update service and travel policies and procedures as needed and communicate with team
Communicate with customers and field technicians to provide service support and solutions as needed
Explore ways to streamline job labor and expense reporting through automation
Define service department process flows and time burdens and explore areas for potential improvement
Take part in Leadership Team, representing the Service Department on issues of quality, sales, open/ backlogged orders, and departmental changes
Be a liaison in Process Improvement to bring any current Service Department projects to the open conversations for brainstorming and networking
Hold internal department productivity meetings weekly to review estimate log and schedule and to fill in where needed most
Qualifications
2-4 year degree, preferably related to business management
Exceptional Microsoft Office and computer skills required
ERP experience required
Preferred experience working with labor and expense reports and reconciliation
Experience/ familiarity with accounting functions from order entry through invoicing preferred
Prior experience in an administrative management position required
Ability to see processes from start to finish
Problem solving, critical thinking, and decision making capabilities
Strong mathematical aptitude with high accuracy
Strong communication skills, verbal and written, between colleagues and customers in reference to sharing and inquiring on information
Solid leadership and professional qualities
Attention to detail with strong organizational skills
