Company Description
Energy Capital & Power are seeking a highly organized and detail-oriented Traffic Controller to join our busy creative department. The role will involve managing workflow and timelines for design, video, and layout projects from start to finish.
The Traffic Controller will be responsible for prioritizing projects for the creatives team, ensuring briefs are logged and complete and then ensuring that projects are delivered on time and to the highest quality standards.
This is a fast-paced and dynamic role that requires excellent communication, time management, and problem-solving skills.
Job Description
- Work with the Creative Director to create and manage project schedules, ensuring that all projects are delivered on time by the creative departments.
- Set up a Traffic system and process and train the team on how to utilize, given that this will be a new function within ECP.
- Ensure all briefs are logged in Trello and check that briefs are complete and that the design team can effectively work with the information given, or revert back to the project owner for additional information.
- Allocate design resources effectively to ensure the smooth running of projects.
- Communicate project timelines and updates to team members and stakeholders.
- Track project progress and identify potential roadblocks or delays.
- Communicate with internal and external clients/stakeholders and project owners on progress and be the interface between.
- Coordinate with various departments to ensure the timely delivery of all assets needed for projects.
- Implement and maintain a creative workflow process to streamline project management.
- Prioritize and schedule urgent projects based on business needs.
- Monitor and enforce quality control standards for all deliverables.
- Act as a point of contact for any project-related inquiries or issues.
- Coordinate all advertising materials required for the printing of magazines and show guides between various departments ensuring that we have all relevant collateral in the right format and resolution.
- Ensuring that we have all relevant logos and source materials for the delivery of project in the right format and resolution.
- Set up, log and work with marketing and project teams and managing editor to log deadlines, timelines and templates for production and delivery of all marketing assets pre-event, onsite and post-event.
- Work with Marketing Director, Managing Editor and Creative Director to obtain quotations for any outsourced services related to the design of marketing assets (business cards, brochures, books and magazines etc).
- Assist the Creative Director in administrative tasks related to the running of the Creative department, including managing HR processes for the team (setting reviews, job specs, interviews etc).
- Proofreading experience required
Qualifications
Diploma or degree in Business Administration, Project Management, or related field.
Proven experience in administrative support, or project/traffic management.
Strong organizational and time management skills with the ability to handle multiple tasks and deadlines.
Experience with project management tools (Trello, HubSpot, etc.).
Excellent attention to detail, including proofreading documents and managing accurate records.
Strong communication and interpersonal skills for coordinating with internal teams, clients, and external stakeholders.
Familiarity with scheduling, resource allocation, and workflow management.
Competent in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
Experience with vendor coordination, quotations, and basic budgeting is a plus.
