Job Description
We are seeking an experienced Document Controller to join our metro station design project in Manila. The successful candidate will be responsible for managing and controlling all project-related documentation using dedicated software such as Projectwise. The Document Controller will ensure that all project documents are accurately managed, distributed, and maintained in compliance with company policies and industry standards.
Key responsibilities include:
- Document Management:
- Create Document Management procedure
- Maintain and manage all project documentation, including drawings, specifications, reports, and correspondence.
- Ensure that all documents are correctly categorized, filed, and easily retrievable through workflow and approval of documents.
- Software Utilization:
- Utilize Projectwise or other designated document management software to manage and control project documents.
- Train team members on the effective use of document management software.
- Quality Control:
- Review documents for accuracy and completeness.
- Ensure compliance with project standards, company policies, and regulatory requirements.
- Distribution and Tracking:
- Distribute documents to internal and external stakeholders as required.
- Track document revisions and maintain version control to ensure that the latest versions are used.
- Collaboration:
- Work closely with project managers, engineers, and other team members to ensure proper document flow and control.
- Coordinate with external partners, contractors, and clients regarding document submissions and approvals.
- Reporting:
- Generate regular reports on document status, including outstanding reviews, approvals, and distribution.
- Maintain logs of all incoming and outgoing documents.
- Archiving:
- Ensure that all final project documents are archived correctly for future reference and audit purposes.
Qualifications
- Bachelor’s degree in a relevant field (e.g., Engineering, Construction Management, Information Management) or equivalent experience.
- Experience in document control within the engineering, construction, or infrastructure sectors.
- Strong understanding of document control processes and standards in the design and construction industry.
- Excellent organizational skills and attention to detail.
- Experience in working in an international context – Good level of English (speaking & writing)
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Proactive approach to problem-solving and continuous improvement.
