Job Description
MAIN PURPOSE OF THE JOB
The Documentation Controller’s job purpose is to:
• Manage the production archiving and data transmission between all the project stakeholders.
• Ensure the production of the teams is achieved in respects with the applicable norms, codes and standards.
KEY DUTIES and RESPONSIBILITIES
The Documentation Controller is responsible for Documentation Management and Contractor’s Follow-up. His key duties and responsibilities are to:
- Define and implement documentation management processes and requirements
- Write specification and implement methods and tools related to documentation management
- Define and update validation flows according to the contracts and disciplines requirements
- Administer databases and ensure proper implementation of documentation management rules, including:
- Documentation identification
- Validation circuits
- Folders systems
- Account creation
- Access rights
- User notifications
- Financial module
- Control, identify and share documentation through DMS depending on the stakeholders
- Coordinate document exchanges with internal and external stakeholders
- Ensuring the interface between the different document management tools of our clients
- Generate and share reports for different stakeholders
- Assist the Client in the delivery of important packages
- Documentation Schedule follow-up (reference creation, visas and status tracking)
- Verify the compliance and integrity of documentation produced with applicable procedures and requirements
- Deliver and notify documentation to the client through their tools
- Follow-up of Tender Batches documentation
- Check documents issued by contractors and Client metadata are in accordance with contractor documentation requirements
- Set-up the validation circuits depending on the scope of the document
- Upload contractor documents and Client visas in Owner Engineer Tool
- Notify the stakeholders
- Manage and coordinate outgoing documentation issued by different stakeholders
- Configuration management (input-data registration)
- Train and support teams in using document management tools
PROJECT CORE COMPETENCES & TECHNICAL SKILLS
COMMON PROJECT CORE SKILLS - GENERAL
- English: Independent B2 : Can understand the main ideas of complex text on both concrete and abstract topic. Can interact with a degree of fluency and spontaneity that makes regular interaction with native speakers. Can produce clear, detailed text.
- Documentation Culture : Perfect knowledge of documentation culture and completely masters the Document Management System (DMS) tool.
The position requires regular and frequent physical presence at the client's premises.
Qualifications
SPECIFIC SKILLS
- At least 5 years’ experience as Doc Controller
- Confidentiality
- Analysis and synthesis spirit
- Basic knowledge of the change management
- Accuracy and rigor
- Intermediate level in Excel
- Experience with Documentation Management Systems
- Interface with the contractors and the clients
- Good verbal and written communication skill in English
