About the Role
Edwards Label is seeking a detail-oriented and organized Administrative Assistant to support daily office operations across multiple departments. This position will help maintain records, track reports and follow-up items, review timecards, coordinate administrative tasks, and support company projects as assigned.
This role is a good fit for someone who enjoys staying organized, following through on details, supporting multiple departments, and helping keep office operations running smoothly.
What You Will Do
- Provide general administrative and office support to management and departments
- Maintain organized files, records, calendars, reports, company documentation, and administrative records
- Coordinate office projects, follow-ups, registrations, renewals, internal tracking, and other office-related tasks
- Prepare company communication, announcements, company updates, meeting support, anniversaries, internal events, and company activities
- Process company vehicle records, registrations, insurance records, tollways, cleaning checks, uniforms, and related documentation
- Coordinate training schedules, training assignments, ADP training, completion tracking, and follow-up
- Track and follow up on time-off requests and related approvals as directed
- Compile safety checks, compliance records, permits, required reporting, and related documentation
- Prepare, update, and maintain reports for production, sales, quality, safety, finance, administration, and other departments
- Update production time-off tracking sheets and other company spreadsheets
- Assist with quarterly reports, year-end reports, wage and benefit surveys, and other reporting needs
- Monitor pending items and follow up with departments to help ensure deadlines are met
- Process checks, vouchers, bonuses, reconciliations, accounting support, audit-related projects, tax-related projects, and finance-related documentation as assigned
- Review timecards, follow up on timecard approvals, report overtime, track breaks and lunches, and maintain related timekeeping documentation
- Coordinate operational projects that support productivity, savings, compliance, and process improvement
- Monitor project progress, deadlines, assigned responsibilities, and follow-up items
- Facilitate communication between departments to help improve workflow and accountability
- Support basic marketing communication tasks, social media posts, company updates, employee announcements, and event-related communications
Work Environment
This position works on site in an office located inside a manufacturing facility. The role may require walking through or near production areas when moving between offices or departments. Moderate noise levels and occasional exposure to temperature changes, dust, dirt, fumes, or odors may occur near production areas.
Qualifications
- Previous experience in administration, office support, operations support, or a related administrative role preferred
- Experience supporting managers, department leaders, or multiple departments preferred
- Proficiency with Google Sheets, Microsoft Office, Outlook, Teams, Word, Excel, PowerPoint, ADP Workforce Now, AI tools, or similar systems preferred
- Strong organizational skills with the ability to manage multiple priorities, deadlines, follow-ups, records, reports, and documentation
- Good verbal, written, and interpersonal communication skills with a professional and service-oriented approach
- Ability to maintain confidentiality and handle company information professionally
- Ability to work independently in a fast-paced environment while supporting changing business needs
