Job Description

The Health Promotion, Practice, and Innovation (HPPI) portfolio is seeking a Strategic Prevention Technical Assistance Center (SPTAC) Administrative & Finance Coordinator. HPPI includes a range of projects that aim to promote social and emotional wellbeing, promote mental and behavioral health, and to prevent risky behaviors such as substance misuse, violence, and suicide. Our project beneficiaries range from state agencies (e.g., state departments of public health and education), community-based organizations, and school districts. Our funders include federal agencies, state agencies, foundations, community-based organizations, and school districts. Our work includes trainings and professional development opportunities, technical assistance and consultation, and research and evaluation.

The Substance Abuse and Mental Health Services Administration (SAMHSA) Strategic Prevention Technical Assistance Center (SPTAC) will be the nation’s foremost vehicle for strengthening the prevention systems of states, tribes, and jurisdictions (S/T/Js) to address communities’ most pressing substance misuse and behavioral health (BH) needs. With SAMHSA’s vision and leadership, EDC and our partners have the critical ingredients to support: an integrated national and regional system, dedicated and experienced staff, and efficient and proven T/TA design, delivery, and evaluation processes to maximize reach and impact. We will advance SAMHSA priorities and collective impact by promoting a common prevention agenda, shared measurement of needs and progress, continuous communication, and mutually reinforcing activities. Our activities will reduce the most pressing substance misuse problems—including opioid misuse and overdose, underage drinking and marijuana use, alcohol use disorder, and co-occurring conditions—and address BH disparities and health inequities through data-driven planning and culturally-tailored prevention approaches.

This is a full-time position and is open to US-based telecommuters. The SPTAC Administrative & Finance Coordinator reports to the Project Operations Associate.

You will:

  • Assist with coordination of communications and project activities, quality assurance, and research compile,and synthesize information
  • Draft materials and develop and implement administrative processes for greater efficiency
  • Assist in identification, recruitment, and servicing of technical consultants
  • Disseminate information, including website content
  • Assist in developing and monitoring budgets as well as documenting and cataloging administrative and financial records 
  • Compare actual service delivery costs vs. cost estimates and ensure monthly invoices from subcontractors are complete and accurate
  • Support the preparation of invoices in collaboration with operations staff, following accounting guidelines and chart of accounts, and support in month-end and year-end reporting alongside quarterly forecasting
  • Support project procurement
  • Collaborate closely with accounting, finance, and programmatic teams to support accounts receivable, accounts payable, budget maintenance, and all financial contracting requirements

 

Qualifications

Education: 

  • Bachelor's degree or equivalent years of experience

Skills & Experience

  • Strong proficiency in Excel is required
  • Experience running and analyzing reports from organizational enterprise systems
  • Strong project management skills, including experience and ability to plan projects, take initiative and manage multiple time-sensitive tasks simultaneously, and prioritize tasks appropriately in a fast-paced environment 

Preferred Education, Skills & Experience:

  • Experience working on contracts

This position offers an anticipated full-time equivalent annual base salary range of approximately $53,000 to $57,000.  Salary offers are made based on market analysis and internal equity.
