Job Description

The U.S. Division’s School and Workforce Success (SWS) Portfolio, has an opening for a Project Coordinator (II), reporting to a Managing Project Director in Waltham, Massachusetts. This position will be based in EDC’s Waltham headquarters and work in a Hybrid model, working some days remotely and some in the office.

The SWS Portfolio builds and operates programs that help people develop the foundational skills and competencies needed for success in STEM education and career pathways, including biotechnology and data sciences. We are currently seeking a coordinator to provide support for a range of activities within a large and complex global science education program. The program provides curriculum and teacher professional development, includes a community of practice for both the sites around the globe that deliver the program to local teachers as well as for the teachers around the globe engaged in the program, and we focus on engaging a wide range of students including those from populations that have been historically marginalized and underrepresented in STEM. The ideal candidate will be extremely organized, exceptionally professional, have a can-do attitude, and have strong written and oral communications skills as they will be working with many people for whom English is not their native language. In addition, the ideal candidate will have experience in supporting conference/meeting planning and execution (including travel support, material preparation, and on-site support) and above all will be enthusiastic and willing to learn new skills. 

ESSENTIAL FUNCTIONS

This mid-level position will be most suited to a curious, versatile, energetic person who demonstrates initiative and is interested in working in a fast-paced non-profit environment. In this role, you will support a number of task areas within a large and complex international project, and therefore be responsible for balancing a number of short- and long-term assignments. An ideal candidate asks questions and provides feedback to help teams achieve maximum efficiency and quality. You will receive support and coaching as you grow your skills and deepen your interests.

You should possess strong communication skills and be able to develop and maintain positive relationships with EDC colleagues and partners. Experience with and understanding of how to effectively communicate with others whose first language is not English is a significant plus, as many of our program partners speak other languages and their English proficiency varies. The job, like all of our jobs, requires adherence to EDC policies & procedures.

Under management guidance, the Project Coordinator (II) provides support to project staff, including:

  • General project management support, from developing knowledge management systems and monitoring subaward agreements, to supporting project leads with timelines, milestones, and tracking mechanisms, to responding to and tracking emails
  • Supporting virtual and in-person events of various sizes by helping with materials production, managing logistical details including travel arrangements for over 100 people, coordinating technical support, and supporting event facilitation (may require travel in the U.S. and internationally)
  • General administrative duties including scheduling meetings, taking notes, maintaining records, assisting in project procurement, overseeing technical consultants, and liaising with external vendors
  • Advancing business development by supporting proposal teams and tasks, assisting proposal writing, conducting light research, drafting sections, writing bios and resumes of technical experts, and other tasks as assigned
  • Assisting with drafting and finalizing visual material development, including graphics, animations, and videos
  • Assisting with internal and external communications, including making updates to website content

The Project Coordinator (II)

  • Is responsible for specific administrative and logistical tasks
  • Assists with project start-up and development or implementation of systems
  • Facilitates project teamwork; engages collaboratively in feedback
  • Assists with quality assurance
  • Acts as liaison between project and partners
  • Assists with coordination of communications and project activities
  • Serves as backup for other project staff
  • May train or supervise junior staff
  • May travel

Qualifications

This position requires educational achievement; excellent writing skills; demonstrable initiative, creativity, and flexibility; ability to work independently and effectively in groups; and strong interpersonal & organizational skills. Specific requirements:

  • Bachelor’s degree or equivalent combination of education & experience
  • At least 3 years in an administrative coordination role preferred; in lieu of the preferred coordination experience, at least 5 years in an administrative role with increasing level of responsibility
  • Strong organizational & analytical skills and aptitude for details
  • A positive and proactive commitment to their work
  • Strong computer skills and capacity to learn new programs and software
  • Experience and interest in education—particularly STEM education—is a plus
  • Experience with graphical software (Adobe Illustrator, or similar) and meeting software skills is a strong plus
  • Experience planning agendas and facilitating groups is a strong plus

This position offers an anticipated annual base salary range of approximately $50,000 to $74,000. Salary offers are made based on market analysis and internal equity.
