Project Description

The USAID Teach for Tomorrow activity supports the Egyptian Ministry of Education and Technical Education (MOETE) in strengthening systems related to two key areas – 1) the design and adoption of effective continuous in-service teacher professional development (CTPD) for educators in the primary cycle and 2) professional teacher licensing/certification and promotion. USAID Teach for Tomorrow will support MOETE in monitoring, sustaining, and improving the quality of educators, particularly with regards to relevant pedagogy and leadership skills of teachers, coaches, supervisors, and school leaders, through institutionalized mechanisms at the central, governorate and district levels. Support will include the design and delivery of an innovative blended learning system (digital media as well as traditional face-to-face teaching) for teacher professional development that will assist teachers to infuse critical thinking, inquiry, and problem solving into their instructional practices.

Position Description

The Administrative Assistant will support the T4T project, the Chief of Party (COP), Deputy, Chief of Party (DCOP), and Operation Manager, assisting with document preparation, meetings coordination and scheduling, record keeping, travel and transportation arrangements, greeting office visitors, follow up with vendors, and other administrative tasks in support of the office, as needed and/or required. S/he will effectively interact with a diverse staff, engage as a member of the project team, accept feedback, troubleshoot questions or problems and seek help, supervision and support, as needed. The Administrative Assistant will report to the Operation Manager. This is full-time position based in Cairo, Egypt (no relocation allowances are provided for this position). The anticipated start date is July 1, 2022.

Qualifications

Essential functions include [but are not limited to]:

  • Support T4T project activities, and COP, DCOP, and Operation Manager to ensure office activities are carried out smoothly and in a timely manner
  • Prepare documents, make photocopies, and catalog data
  • Maintain project filing system, both electronic and hard copies
  • Facilitate internal office communication
  • Assist with scheduling and organizing project meetings with USAID and other key stakeholders
  • Coordinate appointments and travel schedules for project staff, Home Office visitors and consultants
  • Maintain office equipment and purchase supplies
  • Establish and maintain contact with office property and rental management
  • Provide inventory support
  • Work closely with the Finance team to ensure the budget availability for the event and initiate the relevant Activity Form.
  • Coordinate with the Senior Events Coordinator the documents supporting the preparation of technical events such as location, catering, transportation, invitee list, special guests, equipment, promotional material, internet connection, audio and visual requirements, etc.
  • Ensure compliance with insurance, security, health and safety obligations, and protocol against COVID19.
  • Handle reordering of project supplies and stationery while following the project procurement procedures. 
  • Update periodically vendor lists related to office supplies.
  • Assist the Operation Manager in small to medium size office relevant procurement, this include but not limited to preparation of Purchase Requisition, initiating vendor list, collecting verbal and written quotes, and participate in the eligibility determination for selecting the vendor.
  • Coordinate with the project Finance team relevant payments documents, invoicing, receipts for events and supplies procured as needed.
  • Responsible for car hire coordination to support project transportation needs
  • Manage logistics arrangements for high level and routine project activities, including local and international transport, hotel bookings, and conference and workshop facilities
  • Coordinate with project team to ensure that delivery of supplies and materials is completed in a timely manner
  • Review material for accuracy and quality, propose format or presentation enhancements
  • Plan, organize and independently carry out workload priorities
  • Maintain the confidentiality of project matters at both technical and financial-administrative levels
  • Ensure that all project staff have the necessary materials to carry out their work inside and outside the office
  • Apply organizational terms, procedures, systems, and policies
  • Other duties, as assigned.

Skills and Experience:

  • Secondary education, vocational training or equivalent required; advanced degree preferred in business administration or related area.
  • 3-4 years’ experience working in office administration required; supervisory experience preferred.
  •  At least one (1) year of experience working in an international organization or agency
  •  Highly skilled in the use of Microsoft Outlook, MS Word, Excel, and PowerPoint
  • Strong organizational and analytical skills
  • Excellent written and oral communications skills
  • Demonstrated ability working with multidisciplinary teams, including local project staff, international staff, consultants, and government officials
  • Ability to multitask while attending to detail and efficiency
  • Strong interpersonal skills and ability to work under pressure
  • Experience working with a USAID-funded project desirable.
  • Fluency in Arabic is required. Proficiency in English is required
