Project Description ​​​​​

The goal of the USAID Teacher Excellence Initiative Activity project is to improve the quality and relevance of teacher preparation in Egyptian public universities so that current and future primary school teachers have enhanced skills to increase student learning and advance the Ministry of Education and Technical Education’s (MOETE) reform. The activity will achieve this goal through the following results:

  • At least 7,500 pre-service teachers in undergraduate programs at Faculties of Education in five Egyptian universities have the skills and knowledge to apply practice-based, experiential teaching methods in the classroom. 

  • 5,000 in-service teachers in postgraduate programs at Faculties of Education in 15 Egyptian universities apply practice-based, experiential teaching methods in the classroom. 

  • 50 Government of Egypt personnel from the MOETE, the Ministry of Higher Education and Scientific Research (MOHESR), and the Supreme Council of Universities demonstrate improved capacity to jointly plan, manage, and adapt teacher education. 

Job Description

The Administrative Assistant will support general administrative and clerical requirements of the project including preparing letters and documents, receiving and sorting mail and deliveries and scheduling meetings and appointments.  The successful candidate will be required to work with cross-functional teams within the organization across the country assisting with document preparation, meeting coordination and scheduling, record keeping, travel arrangements, answering phones, greeting office visitors, and other administrative tasks in support of the office, as needed and/or required. S/he will effectively interact with a diverse staff, engage as a member of the project team, accept feedback, troubleshoot questions or problems and seek help, supervision and support, as needed. The Administrative Assistant will report to the Office and Human Resources Manager. This is full-time position based in Cairo, Egypt (no relocation allowances are provided for this position).  

Essential functions include [but are not limited to]: 

  • Maintain project filing system, both electronic and hard copies and ensures confidentiality of sensitive documents; 
  • Facilitate internal office communication; 
  • Schedules and organizes project meetings with USAID and other key stakeholders; 
  • Coordinate meetings, appointments and travel (hotel and transport) schedules for project staff; 
  • Assists with the procurement of office materials and supplies as required; 
  • Assist in coordinating communications with the office property owner in reporting repair or maintenance requirements;  
  • Maintains the project inventory, ensuring all equipment is tagged and recorded in the inventory tracking system in coordination with the Office and Human Resource Manager; 
  • Plan, organize and independently carry out workload priorities; 
  • Other duties, as assigned. 

Qualifications

The Administrative Assistant shall have at a minimum the following qualifications: 

Education:  

  • Secondary education

Skills and Experience:  

  • 3-4 years’ experience working in office administration required; supervisory experience preferred; 
  • At least one (1) year of experience working in an international organization or agency; 
  • Highly skilled in the use of Microsoft Outlook, MS Word, Excel, and PowerPoint; 
  • Strong organizational and analytical skills; 
  • Excellent written and oral communications skills;  
  • Demonstrated ability working with multidisciplinary teams, including local project staff, international staff, consultants, and government officials; 
  • Ability to multitask while attending to detail and efficiency; 
  • Strong interpersonal skills and ability to work under pressure; and 
  • Experience working with a USAID-funded project desirable. 

Language:  

Fluency in Arabic is required. Proficiency in English is preferred.
