Job Description

The Zero Suicide Institute in the  (U.S. Division) has openings for a casual employee serving in the role of ZSI Administrative Coordinator (Casual I Coordinator), reporting remotely to the Administrative Manager, in Waltham, MA.

The U.S. Division includes grants and projects in the areas of suicide, substance use, healthcare, violence and injury prevention. Through this work, EDC provides state and local officials, grantees, policymakers, interested stakeholders and the general public with assistance in developing, implementing and evaluating programs and strategies to prevent injury, violence and suicide.

The ZSI Administrative Coordinator (Casual I Coordinator) will be a part of the Zero Suicide Institute (ZSI) at EDC (http://zerosuicideinstitute.com/about-us) which provides expert consultation for health and behavioral health care entities implementing the Zero Suicide approach, delivers training in assessing and managing suicide risk, supports organizations as they adopt evidence based suicide prevention practices, and advances continuous quality improvement efforts. EDC is committed to ZSI and other fee for service efforts, and the person in this role may expand their scope in the future to support other fee for service efforts.

EDC casual employees generally work as needed.  A casual position receives statutory benefits of Social Security contributions, Medicare contributions, unemployment insurance, worker’s compensation insurance and sick leave.  A casual position ends when work is complete.

 

ESSENTIAL FUNCTIONS
The ZSI Administrative Coordinator (Casual I Coordinator) is expected to:

  • communicate clearly, courteously, and professionally with internal EDC staff and external clients
  • develop and maintain positive relationships with clients, consultants, collaborators, co-workers, field sites, and funders
  • work respectfully with EDC colleagues

Operating with significant autonomy & discretion on behalf of center, project, or department management, the ZSI Administrative Coordinator (Casual I Coordinator):

• Coordinates and processes contracts, invoices, and deliverables for various ZSI and AMSR projects
• Maintains organization of general email inquiries, ensuring seamless customer service
• Negotiate contracts with external clients based on ZSI protocol and policy; including abiding by EDC policy.
• Coordinate contract deliverables and operations with ZSI staff, primary with ZSI Project Leads, ZSI Business Associate and Administrative Coordinator team.
• Utilizes various technology platforms to assist in the management, delivery, and facilitation of ZSI operations and servicecs (ie: WebEx, Adobe Connect, Zoom, RingCentral, SalesForce, Zoho CRM, EventSquid, Basecamp)

Qualifications

QUALIFICATIONS
This position requires educational achievement; excellent writing skills; demonstrable initiative, creativity, and flexibility; ability to work independently and effectively in groups; and strong interpersonal & organizational skills. Specific requirements:

Associate’s degree with 3–5 years related administrative coordination experience or Bachelor’s degree in related field

Communications: Strong written and verbal communication skills. Able to communicate effectively with colleagues, project partners, and funders, especially at conferences about . Experience developing and reviewing written materials for outside audiences.
Collaboration: Ability to work both independently without close oversight, but also a team player who will productively engage with others across the team and the larger project. Confident but asks for help as tasks become more complex. Experience working with diverse audiences a plus. Some experience planning and executing meeting logistics.
Relationship Building: Demonstrated ability to develop collaborative relationships with colleagues, partners, and funders over long distances and virtually.
Technology: Applicant embraces technology and uses it to increase efficiency. Knowledge of administrative techniques and systems.
Personal Qualities: A professional who excels in a mission-driven, rapidly evolving environment. Someone who exhibits flexibility, enthusiasm, responsiveness, aptitude for details, a positive attitude, creativity, strategic and analytical thinking, self-motivation, attentiveness to cultural differences, and problem solving skills, as well as the ability to be proactive and to produce quality work under tight deadlines.
