Job Description
The Zero Suicide Institute (ZSI) at EDC, within our U.S Division, has an opening for an Administrative Coordinator, reporting to the Business Associate in Waltham, MA.
The EDC U.S. Division includes grants and projects in the areas of suicide, substance use disorders, healthcare, and violence and injury prevention. Through this work, EDC provides state and local officials, grantees, policymakers, interested stakeholders and the general public with assistance in developing, implementing and evaluating programs and strategies to prevent injury, violence and suicide.
The ZSI Administrative Manager will be a part of the Zero Suicide Institute (ZSI) at EDC (http://zerosuicideinstitute.com/about-us) which provides expert consultation for health and behavioral health care entities implementing the Zero Suicide approach, delivers training in assessing and managing suicide risk, supports organizations as they adopt evidence based suicide prevention practices, and advances continuous quality improvement efforts.
ESSENTIAL FUNCTIONS
The person in this position is expected to communicate clearly and courteously; to develop and maintain positive relationships with clients, consultants, collaborators, co-workers, field sites, and funders; and to work respectfully with EDC colleagues. The job requires adherence to EDC policies & procedures.
Operating with significant autonomy & discretion on behalf of center, project, or department management, the Administrative Coordinator:
- Coordinates activities and services including: * Materials management (copying, scanning, mailing, management of space/equipment/inventory) * Staff/contract support tasks (scheduling events/meetings/calls, coordinate conference logistics, backup for other staff, note taking * Financial/business support (invoicing) * Data/information management (research, compiling information/evaluations, translating data into visual representation) * Communication (internal staff, external partners, inbox management, account services)
- Analyzes activities, services and systems; recommends revisions for efficiency and control
- Monitors information, notifying staff or management of findings or trends requiring action
- Independently performs complex assignments requiring knowledge of content area and administrative systems; solves complex problems
- Performs various assigned duties to balance workload
- Interprets and ensures compliance with policies and procedures.
- May handle complex or confidential matters requiring considerable discretion & judgment
- Support and administer two project websites (http://zerosuicideinstitute.com/, http://zerosuicide.sprc.org/); manage content display/accessibility, and ensure updates are completed regularly
The ZSI Administrative Coordinator:
- Interacts extensively within and outside the organization; effectively interacts with diverse staff with competing priorities

- Coordinates issue clarification & troubleshooting
- Coordinates with vendors, subcontractors, or staff to deal with administrative needs or identify information needs
- Collaborates with Information Technology staff to coordinate center-wide initiatives
- May train regular or casual support staff to meet workload deadlines; may provide close administrative or technical supervision to 1–2 staff
- May require intermittent domestic travel.
Qualifications
This position requires educational achievement; excellent writing skills; demonstrable initiative, creativity, and flexibility; ability to work independently and effectively in groups; and strong interpersonal & organizational skills. Specific requirements:
- Associate’s degree or equivalent
- Bachelor’s degree or equivalent combination of training & education desirable
- With Associate’s degree, 3–5 years related administrative coordination experience, including solid experience with 3 or more computer applications
- With Bachelor’s degree, 1–3 years related experience (as above)
- Strong organizational & analytical skills and aptitude for details
- Strong critical/strategic thinking and collaboration skills required

- Communication: Strong verbal and written communications skills. Able to communicate effectively with a variety of internal and external audiences. This position is responsible for providing thoughtful customer service to a varity of consumers, coordinates operation deliverables on a national level. Ability to provide and receive thoughtful feedback is required.
- Project Management: Ability to take initiative and manage multiple time-sensitive tasks simultaneously and prioritize tasks appropriately in a highly fast-paced environment.
- Technical Skills: Strong understanding of how to optimize content within multiple management systems (ie: Zoho Books, Zoho CRM, EventSquid, AirTable, Drupal, Basecamp). Interest and experience in website content management preferred.
- Collaboration & Relationship Building: Able to work both independently, and as a team player who will productively and proactively engage with others across the team and the larger project. Proven ability to build and maintain relationships and navigate sensitivities with individuals working in various levels of public and private sector organizations. Growth mindset required.
