Job Description

We’re seeking a proactive and detail-oriented receptionist to help drive the success of our NYC corporate office. The Receptionist is the first point of contact for visitors and callers, responsible for creating a welcoming environment and providing administrative support to ensure efficient office operations. In this role, you’ll be the central force behind a welcoming workplace, ensuring day-to-day operations run smoothly.

RESPONSIBILITIES

· Manage the day-to-day operations of our 2 floor NYC office to ensure a clean, comfortable, and inviting workspace.

· Act as the first point of contact to observe and troubleshoot facilities-related issues

· Track and manage office-related budgets, orders, and inventory

· Greet and assist visitors in a professional and friendly manner.

· Answer, screen, and route incoming phone calls promptly and courteously.

· Maintain a clean and organized front desk and reception area.

· Manage incoming and outgoing mail, packages, and deliveries.

· Schedule and confirm appointments, meetings, and conference room bookings.

· Maintain visitor logs and issue security badges as required.

· Manage conference room bookings and general office scheduling

· Assist with administrative tasks such as filing, data entry, and document preparation.

· Assist with office engagement activities such as lunches, and special events

· Monitor and order office supplies to ensure adequate inventory.

· Coordinate with internal departments to support daily operations.

· Relocation support including sourcing and reserving housing (temporary and long term) for employees who relocate

· Book travel for larger meetings and events

· Maintain conference rooms and shared spaces such as supply closet and kitchens.

· Uphold confidentiality and comply with company policies and procedures.

· Assist with special projects and administrative tasks as neede

Qualifications

QUALIFICATIONS

· Detail-oriented, organized, and demonstrated ability to manage multiple priorities

· Proficiency in Microsoft Office, strong knowledge of Excel

· Proactive with a strong sense of urgency

· Experience in office management, employee experience, operations, or related roles

· A genuine passion for creating great workplace experiences

· Strong communication and interpersonal skills

· Available to work onsite from our NYC office

· Previous experience working with SAP Concur or other travel system

· Experience with corporate relocation preferred

· 0-3 years’ experience in an office support role

· Must be able to lift 25 pounds

· Must be able to lift and bend to restock pantries and supply room.

· Must be able to be on your feet throughout the day, walking around two floors to ensure the space is clean and tidy and comfortable.

· Bilingual in English and Spanish preferred

The houely compensation for this role ia $20-$24 per hour
