Job Description
The Store Development Information Specialist will provide service and support to the Store Development Team. This individual will be the point person for Eataly’s store development site, Procore, and support the department with various administrative needs. Our ideal candidate will have experience in grocery, restaurant, and/or retail construction administration and be proficient with automated systems and database-type applications. Key Responsibilities:
- Serve as the information coordinator and online administrator for Eataly’s store development platform, Procore.
- Ensure all documents needing approval are processed through Procore and Docusign as needed for Leadership approvals.
- Support the development and maintenance of Procore by continually updating, expanding, and evaluating quality of information collected.
- Set up new projects in Procore, administering new software versions, serving as liaison between Real Estate, Design, Construction, Accounting, and other user groups.
- Lead the transfer of all documentation from current projects with the support of Procore.
- Coordinate and track completion of all required construction drawings, specifications, submittals, and project schedules.
- Ensure close out procedures adhered to on all ENA projects within Procore.
- Track documents on the projects to the appropriate company personnel, architects, general contractors, subcontractors, and material suppliers.
- Assist in the development of tools and documentation of best practices, including a project management manual, site and building design standards to accompany lease agreements.
- Assist with preparation of Weekly Project Status Reports, Steering Committee reports and Cash Flow Reports. Working closely with the financial team.
- Assist in development of training programs for various levels of store development leaders and team members.
- Assist with developing standardized equipment numbering conventions by Eataly departments and price data, assist with development of VE options and creation of an online equipment catalogue of cut sheets and cost data.
- Arrange and help facilitate large group meetings, along with monthly/weekly conference call planning, North America/Italy team meeting planning.
- Capture key minutes, agreements, and action steps from a variety of meetings with the ability to independently follow-up on action items.
- Maintain store development team contact information and keep updated information on store development team Procore site.
- Serve as the point of contact for all incoming store development inquiries.
- Read, understand and interpret construction documents and plans.
Qualifications
- Experience working with Procore system, or similar information management platform.
- Must be able to multi-task on a daily basis and meet critical deadlines, supporting a business with multiple locations.
- Basic construction and architecture industry knowledge.
- Highly collaborative with excellent people skills
- Grocery / Restaurant / Retail store development experience preferred.
- Self-motivated, professionally assertive, detail oriented, quick learner and team player.
- Excellent communication and presentation skills; ability to communicate effectively via email and phone to multiple locations.
- Four-year degree, advanced studies a plus.
- Microsoft Word, Excel, PowerPoint and Outlook proficient; intermediate excel skills highly desired.
- Basic understanding of Microsoft Project a plus.
The base pay range for this position is $65,000 - $75,000 per year.
