Job Description

Reporting directly to the CEO, the Executive Assistant provides administrative and operational support to the Chief Executive Officer.  

  • Works directly with the CEO to support all aspects of their daily work routine, and acts as an integral member of the team, fostering collaboration and accountability in a manner representative of the CEO and Eataly. 

  • Exercises discretion in committing time and evaluating needs to align to the priorities of Eataly and the CEO 

  • Maintains a high level of confidentiality and accountability in all tasks 

  • Communicates in a polite, approachable manner, and drives collaboration within key projects 

  • Serves as a liaison between the CEO, the Executive team, Employees, Eataly, international partners, and the public. This can include receiving and screening phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution 

  • Plan and orchestrate work to meet the CEO’s priorities and goals; maintain close communication and collaboration with CEO and a high level of responsiveness 

  • Completes a variety of special projects including cross-departmental collaboration, creation of PowerPoint presentations, financial spreadsheets, special reports, agenda material, and project management.  

  • Maintains the CEO’s calendar, including scheduling meetings, appointments, speaking engagements, as well as both domestic and international travel arrangements.  

  • Coordinates domestic and international travel arrangements and other administrative responsibilities for international team members and partners as assigned by the CEO 

  • Negotiates agreements and contracts with travel agencies, hotels and airlines companies 

  • Attends meetings and takes notes of discussion; prepares the initial draft of minutes and summaries. Assists CEO in meeting preparation, including background research and collaboration, with key team members. Assists the CEO in tracking and accountability for action items and projects.  

  • Plans events, orders lunch, and takes care of logistics for daily and intermittent needs, as assigned by the CEO.

  • Supports the domestic and international leadership teams with scheduling, collaboration, and other duties as assigned. 

  • Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed  

Qualifications

  • Ability to work fully in-person at Eataly headquarters in New York. 

  • Extensive previous office or administrative experience in a similar role required, including direct working relationships with executives and senior leadership team members. 

  • Extensive experience in managing effective, professional written and verbal communication with senior level management 

  • Prior experience managing and booking international and domestic travel for multiple leaders. 

  • Ability to build relationships with team members at all levels of the organization.  

  • Effective interpersonal and communication, organization, planning and prioritization skills 

  • Excellent time-management skills and a proven track-record of organizing and managing multiple complex calendars, concurrent projects, and processes. 

  • Positive attitude and fortitude to work through ever-changing and dynamic operational conditions 

  • High attention to detail and strong execution skills 

  • Analytical problem-solving skills and data-driven mindset 

  • Flexible and able to quickly adapt to new circumstances as they arise 

  • Proficient in Microsoft Office Suite, strong Excel skills 

  • Conversational Italian language skills are a plus 

  • Previous experience in hospitality, retail, or lifestyle brands is a plus

The base pay range for this position is $85,000 - $100,000 per year.
