Job Description

THE POSITION:

As an important member of the Marketing and Corporate Communications Department, the Marketing Operations Specialist helps a fast-moving global department work efficiently through project management support, back-end system management and administrative coordination. This role interacts across the full department and will consistently add value to marketing campaigns, reporting, vendor management, event coordination and technology/system management, and various tasks as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Our employees are tasked with delivering excellent business results through the efforts of their teams.  These results are achieved by:

  • Coordinate and provide marketing operations support for a cross-functional department, including project management, technology platform updates, reporting, etc.
  • Support the execution of marketing programs including but not limited to events, sponsorships, thought leadership, content development, database management, and lead generation campaigns
  • Attend meetings, actively listen, and coordinate follow up activities and action items
  • Quickly become familiar with various marketing technology platforms to make regular updates, pull data, upload assets and more.
  • Lead purchase order and invoice processing for the department’s investments and vendors within Microsoft D365
  • Assist Chief Marketing Officer in gathering and creating content for department updates to BD/leadership and service line leaders – with a view holistically across the Marketing & Communications teams
  • Liaison between Department leads and teams to coordinate cross-functional tasks to ensure project timelines are met and project expectations are achieved
  • Schedule and help manage Department and project meetings
  • Assisting in monthly metric reporting, as well as ad hoc requests as needed.

  • Ability to travel up to 5%
  • 40 Hours per week

Qualifications

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:

The requirements listed below are representative of the experience, education, knowledge, skill and/or abilities required.

  • Experience in project coordination and delivery, ideally in a Marketing or Administrative Environment
  • Affinity for organization, multi-tasking and deadline management, including the ability to work with direction but under minimal supervision.
  • Technology savvy and proficient in most office software systems, including Microsoft Office Suite, Microsoft Teams, WordPress, and various marketing platforms such as SharePoint, Canva, SmartSheet and similar systems.
  • Self-starter with a positive attitude and team player who is willing to learn new processes quickly and bring innovative new ways to solve them.
  • Attention to detail and quality assurance in all projects and duties assigned

PREFERRED QUALIFICATIONS:

  • Bachelor’s Degree required, Marketing or Communication preferred.
  • Multi-media, video development and production experience is a plus but not required
  • Ability to be flexible with projects and working hours.

Office: While performing the essential functions of this job the employee is frequently required to reach, grasp, stand and/or sit for long periods of time (up to 90% of the shift), walk, talk and hear; occasionally required to lift and/or move up to 25 pounds. The noise level in the work environment is usually moderately quiet, with frequent interruptions and multiple demands.
