About the Role

Dungarvin is hiring an Office Coordinator / Program Support Specialist to support multiple Adult Day Program locations across Southern California. This position is based out of our Lakewood office in Long Beach and plays a key role in keeping day-to-day operations organized and running smoothly.

In this role, you’ll support Program Directors, Program Coordinators, and Area Leadership by helping maintain consistency across operations and ensuring teams have what they need to effectively support the individuals we serve. You’ll help keep communication, documentation, and administrative processes moving efficiently across multiple locations.

This is not a traditional administrative role where tasks are handed to you throughout the day. We’re looking for someone who is proactive, resourceful, and comfortable working independently while staying connected to a team. You’ll serve as a central support point, stepping in where needed and helping ensure nothing falls through the cracks.

You’ll be the person who notices what needs attention, takes action, and follows things through from start to finish. Whether it’s organizing files, supporting scheduling, managing office operations, or assisting with projects, your work helps programs stay structured, efficient, and supported.

  • Full Range Scale: $24.00 - $26.75 per hour (The starting rate for this position is fixed at $24.00 per hour.  Pay increases occur over time and are tied to tenure/length of employment with Dungarvin.)

    Job Description

    What You’ll Do

    • Provide administrative and operational support to Program Directors, Program Coordinators, and Area Leadership
    • Support adherence to organizational processes, documentation standards, and internal procedures
    • Support scheduling coordination and general administrative needs tied to program operations
    • Maintain organized physical and electronic files and ensure documentation is complete and up to date
    • Track documentation, data entry, and required paperwork across multiple programs with accuracy and attention to detail
    • Help maintain the overall flow of office and program operations, ensuring tasks and communication are moving efficiently
    • Manage procurement, office supply ordering, and vendor coordination
    • Track expenses, collect receipts, and support basic reporting processes
    • Monitor office equipment and coordinate maintenance or repairs as needed
    • Support scheduling, meeting coordination, and administrative projects
    • Act as an extra set of hands for operations, stepping in where support is needed

    Qualifications

     What We’re Looking For

    • High school diploma or GED required, along with at least 2 years of administrative or operational support experience in a professional setting
    • Experience in human services, healthcare, or a multi-site environment preferred
    • Strong computer and technology skills, including above average knowledge in Microsoft Office (Word, Excel, and database systems)
    • Experience with data entry and administrative processes, with a focus on accuracy and timeliness
    • Ability to work independently with minimal supervision and take initiative in day-to-day responsibilities
    • Strong problem-solving skills with the ability to identify problems, find solutions, and follow tasks through from start to finish
    • Confidence, flexibility, and the ability to pivot when unexpected demands or priorities arise
    • Highly organized with strong attention to detail
    • Ability to manage multiple priorities across different teams and locations
    • Clear and professional communication skills with the ability to work across all levels of the organization
    • Ability to handle confidential information with professionalism and discretion
    • Valid driver’s license and reliable transportation
    • Ability to travel between local program sites as needed to provide support
