We are looking for a dependable and energetic Office Coordinator to work in our Indianapolis, IN office! Our Office Coordinator will perform and manage administrative matters for the Indianapolis team and provide occasional remote support for the Evansville team. Ability to manage an office and ensuring a positive appearance and atmosphere for all is crucial to our role. 

Responsibilities include:

  • Maintain the front desk and be a friendly first impression for our staff and visitors
  • File management, procurement, expense reporting  
  • Assure office is maintained in a neat and professional manner
  • Communicate in a professional manner toward internal and external contacts
  • Professionally greet and assist all visitors
  • Know, uphold, and support organizational policies, procedures, and philosophy
  • Participate in organizational changes in a cooperative and professional manner
  • Assure all incoming and outgoing mail is processed accordingly
  • Assure faxes and general emails are distributed accordingly
  • Assure all equipment (computers, printers, phones, and copiers) is maintained in proper working condition
  • Schedule of ongoing meetings for specific rooms and upon special request
  • Assure maintenance of master forms, policies, rules, and regulations books

Qualifications

  • Must be professional, highly organized, excellent time management and decision-making skills.
  • Must have excellent verbal and written communication, as well as interpersonal skills.
  • Must have the ability to work as team and independently

EDUCATION/EXPERIENCE:

  • High school diploma or GED Certificate
  • Two plus years of education, training, and/or administrative experience.  
  • Excellent written and verbal communication skills
  • Must be organized, flexible with an ability to multi-task and meet timelines
  • Must be able to handle confidential information appropriately
  • Must possess confidence, flexibility, initiative and the ability to maturely deal with unexpected demands and incidents
  • Strong computer skills with experience in word processing, spreadsheets and databases.
  • Experience with Microsoft Office is preferred

PRE-EMPLOYMENT REQUIREMENTS:

  • Three Professional references
  • Current valid driver’s license and an acceptable driving history
