Job Description

To perform and manage administrative matters for management team members.  Responsibilities include, file management, incident tracking, procurement, expense reporting and coordinating quality assurance activities. 

HOURS: FT, M - F 8am - 4:30pm

RESPONSIBILITIES:

  • Know and assure implementation of all organizational policies and procedures
  • Promptly and accurately complete projects, research, and other scheduled and non-scheduled administrative tasks as assigned by the supervisor
  • Serve as Project Coordinator for special projects
  • Monitor office equipment and related needs in the local office and statewide
  • Schedule of ongoing meetings for specific rooms and upon special request
  • Assure maintenance of master forms, policies, rules, and regulations books
  • Maintain administrative files
  • To coordinate publications and social media
  • Track quality assurance activities and compliance reviews
  • Track incident reports
  • Support and coordinate statewide committee meetings
  • Coordinate purchasing for special projects and events

Qualifications

EDUCATION/EXPERIENCE:

  • High school diploma or GED Certificate
  • Two plus years  of education, training, and/or administrative experience.  
  • Excellent written and verbal communication skills
  • Must be organized, flexible with an ability to multi-task and meet timelines
  • Must be able to handle confidential information appropriately
  • Must possess confidence, flexibility, initiative and the ability to maturely deal with unexpected demands and incidents
  • Strong computer skills with experience in word processing, spreadsheets and databases.
  • Experience with Microsoft Office is preferred
  • Prefer experience with management of people and systems
  • Prefer bachelors degree in a related area or comparable combination of education and work experience

PRE-EMPLOYMENT REQUIREMENTS:

  • Must be at least 18 years old
  • Current valid driver’s license and an acceptable driving history (ability to obtain a California license within 30 days of hire if you currently posses an out-of-state license)
  • Physician’s clearance and a TB test clearance - paid for by Dungarvin
  • Two Professional references
