Job Description

The Financial Administrative Assistant provides administrative and financial support to ensure the efficient operation of the finance department. This role is responsible for maintaining financial records, processing invoices, supporting accounts payable and receivable functions, preparing reports, and assisting with budgeting and payroll activities.

Financial Support

  • Process and verify invoices, expense reports, and purchase orders.
  • Assist with accounts payable and accounts receivable activities.
  • Reconcile bank statements and financial records.
  • Prepare deposits and maintain accurate financial documentation.
  • Support month-end and year-end financial processes.
  • Assist in budget preparation and financial forecasting.
  • Generate financial reports and spreadsheets as required.

Administrative Support

  • Maintain organized filing systems for financial and administrative records.
  • Manage correspondence, emails, and phone inquiries related to finance matters.
  • Schedule meetings and prepare documents, presentations, and reports.
  • Ensure compliance with company policies and financial procedures.
  • Assist with audits by gathering required documentation.

Payroll & Data Management

  • Support payroll processing and maintain employee payroll records.
  • Enter and update financial data into accounting systems.
  • Verify data accuracy and resolve discrepancies.
  • Maintain confidentiality of financial and employee information.

Qualifications

  • Diploma or certificate in Accounting, Finance, Business Administration, or a related field.
  • 1-3 years of administrative or accounting experience.
  • Knowledge of accounting principles and financial procedures.
  • Proficiency in Microsoft Excel, Word, Outlook, and accounting software.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Effective verbal and written communication skills.
  • Ability to handle confidential information professionally.
