Job Description
What's the Role?
We're looking for a Proposal Specialist to join our Sales Enablement team for a 20 month contract. This is a hands‑on, highly collaborative role where you’ll play a key part in shaping how we show up to clients through thoughtful, well‑crafted proposals.
About the Role
As a Proposal Specialist on contract, you’ll work closely with Business Development, Estimating, and Operations to manage the end‑to‑end proposal process - from RFP release through final submission. You’ll be responsible for quality, compliance, and coordination, helping ensure our proposals are clear, compelling, and delivered on time.
Key responsibilities include:
- Managing the full proposal lifecycle, from RFP intake through submission.
- Interpreting RFP requirements and evaluation criteria, and translating them into clear guidance for contributors.
- Developing proposal schedules, outlines, compliance matrices, and contributor assignments.
- Coordinating cross‑functional subject matter experts throughout the proposal process.
- Facilitating proposal reviews and incorporating feedback while ensuring alignment to strategy and compliance.
- Applying Dexterra Group’s branding, writing, and editing standards across all submissions.
- Managing document control, including storage of solicitations, approvals, and submissions.
- Supporting post‑submission activities such as clarifications, revisions, and follow‑ups.
- Participating in debriefs and lessons‑learned sessions to support continuous improvement.
- Maintaining and contributing to the proposal content library, templates, and past performance materials.
- Building a strong understanding of Dexterra Group’s services, capabilities, and differentiators.
Qualifications
Who we're looking for
You’re detail‑oriented, organized, and comfortable working across teams. You balance strong writing skills with solid project coordination—and you don’t lose sight of deadlines.
- 3-5+ years of relevant professional proposal writing experience.
- Bonus points if you have proposal writing experience in the facilities management, construction, oil & gas or services industries!
- Post-secondary degree/diploma in relevant field.
- Formal proposal training or certification (preferred).
- Proven business writing, editing, and proofreading skills.
- Clear, confident communication skills (French is an asset).
- The ability to manage multiple priorities and firm deadlines.
- A collaborative working style with the ability to work independently.
- Proficiency in Microsoft Word, Excel, PowerPoint, and Visio.
- Experience with tools such as Qvidian, Canva, Adobe Creative Suite, or MS Project.
- Experience working with e‑bidding and procurement platforms (e.g., MERX, Ariba, Bids & Tenders).
