Job Description

WHAT'S THE JOB?

Part of our growth strategy is to bring in talent to help strengthen the skills and processes of our teams. We are looking for a project manager to bring project management principles across our Facility Management division.

The project manager will report to the Director of Solutions and Implementation and will support various strategic projects across the IFM divisions. The Project Manager will be expected to apply project management tools and standards and teach the use of best practices into the business. The position will provide remote support and oversite on project planning throughout the business and will be tasked with running key strategic projects.  

The project manager will work on continuously improving and developing operations and positively contribute to the performance, growth, and profitability of the business.

The project manager will lead the planning, implementation, administration, and sustainment of operational processes and systems. You will use your knowledge of both frontline operations and business systems to analyze, communicate, and validate requirements for processes to ensure all operational, contractual, and financial reporting needs are achieved. You will be required to facilitate training, stakeholder meetings, and create, document, and implement processes.

Principal Accountabilities

  • To document and standardize best practice for operational processes throughout the business
  • To implement and teach the developed best practices
  • To continuously evaluate and improve new and existing project management tools
  • To work with the operational teams to govern the use of and adherence to the tools to ensure accuracy and completeness.
  • To continuously improve the tools available
  • To provide support to the bid team during large scale tenders
  • To identify solutions to optimize the return on current services business.
  • To implement, train, monitor and drive the use of mobilization tools for project implementations
  • To lead and/or support change for business initiatives (such as new acquisitions) inclusive of building & planning, executing and tracking the change plan milestones including:
    • Communications
    • Training
    • Stakeholder engagement
    • Risk assessment
    • Operational readiness analysis
    • Post implementation support
    • Lessons learned
  • Continuous improvement of current change methodologies and processes
  • Propose solutions and strategies to business challenges

Specific Areas of Operations

  • To govern the mobilization process for new contracts and gain feedback to improve the process
  • To work on integrations with new business areas into the Dexterra framework
  • To coach and mentor leaders in the business in the use of tools for implementation on their individual projects
  • To perform after action reviews on bids/projects/tasks that have and have not been successful
  • To identify areas for improvement for challenging projects
  • Work in partnership with other areas of the business to provide a consistent approach across our operations including finance, procurement, HR. This will consist of assessing elements of the delivery and working to provide a best practice solution.
  • To implement initiatives to ensure best practices are available to everyone
  • Assist others with planning and preparing project schedules, milestones and monitor progress against established schedules and budgets correcting gaps or variances to minimize impact to project completion
  • Assist with completion of Risk registries and provide training and coaching
  • Evaluate project performance
  • Assists with the development of project execution strategies, information management plans and staffing plans

Qualifications

WHO ARE WE LOOKING FOR?

  • Post-secondary education in Business, HR, Engineering or a related discipline or an equivalent combination of education and experience in the application of the principles and practices of facility operations.
  • 3-5 years of experience planning, and leading large scale strategic initiatives is required;
  • Project/program management experience required
  • Project Management Professional (PMP) certification is an asset
  • Knowledge of Six Sigma Principles
  • Comprehensive experience planning, managing, and implementing complex projects
  • Excellent oral and written communication skills, including presentation skills
  • Strong problem solving and troubleshooting skills with the ability to exercise mature judgment
  • Good understanding of facility management operations is an asset
  • Strong knowledge of Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Strong knowledge of use of project management tools including Microsoft project or Smartsheet
