This is a high-energy, operational position focused on managing our global software ecosystem.The Digital Workplace Admin will play a key role in shaping and maintaining our digital landscape.  We are the bridge between our tool vendors and our employees, ensuring that every license counts and every communication adds value.The ideal candidate will be a proactive problem-solver with a desire to enhance the employee experience through the effective use of digital tools.

While technical administration is a key responsibility, there’s a strong focus on communication, stakeholder management, and process improvement. We need a pragmatic person who values transparency, detail orientation, and efficiency. If you prefer high-level strategy over hands-on tool administration and rigorous process following, this is not the role for you.

Key responsibilities:

  • Tool administration: manage and maintain our suite of productivity and communication and collaboration tools. You will own the admin consoles, and will bring common sense on user provisioning and de-provisioning based on internal audits.

  • Configuration and customization: configure and customize tools to meet the evolving needs of the business and our employees.

  • Data-driven decision making: conduct regular audits of usage data. You must identify "top users" vs. "ghost licenses" and some other useful data to provide actionable insights that lead to cost savings and better license allocation.

  • Agile user support: we act as the first point of contact for tool-related queries. You must strictly follow and enforce our official request processes (avoiding manual workarounds or abide to standard procedures)

  • Smart communication: create and execute communication campaigns. Note: While we encourage the use of AI tools to assist, we require high-quality, human-polished content that aligns with our corporate tone and respects all privacy/security guidelines.

  • Business Engagement: support the Digital Workplace Manager by attending meetings with business stakeholders, gathering requirements, and acting as a technical consultant to translate business needs into technical solutions.

  • User support and training: provide technical support and training to employees, ensuring they can effectively utilize the available tools. Develop and maintain user-friendly training materials and documentation.

  • Vendor and release management: act as a point of contact for tool vendors. Collaborate in the contract negotiations and renewals processes. You will support in negotiations by providing accurate usage data.

  • Security and compliance: work with the security team to ensure that all tools are configured and used in a secure and compliant manner, including the implementation of security capabilities like Single Sign-On (SSO) and Data Loss Prevention (DLP).

  • Process Improvement: identify opportunities to improve business processes and employee workflows through the use of our digital tools.

Requisitos

Requirements and values:

  • Proven experience in a similar role, with hands-on experience administering productivity, communication and collaboration tools.

  • Proven experience in IT operations, App management, or as a System Admin. We value "getting things done" over "strategic brainstorming."

  • Experience working with business stakeholders to gather requirements.

  • Experience with data analysis and reporting tools to track tool adoption and usage metrics.

  • Excellent communication, interpersonal, and problem-solving skills.

  • Proficiency in leveraging Generative AI to enhance productivity while maintaining full ownership of the final output. The candidate must demonstrate the analytical rigor to validate, refine, and adapt AI-generated content.

  • A proactive and user-centric approach to work, with a strong desire to improve the employee experience.

  • Ability to work effectively both independently and as part of a team.

Technical skills

  • Strong Excel/data analysis skills (Pivot tables, data cleaning) for license auditing.

  • Familiarity with scripting (PowerShell, Apps Script) is a plus for automating repetitive tasks

  • Experience with change management frameworks (applied to real tool migrations, not just theory).
