Job Description

Reporting directly to the VP Business Affairs, the Business Affairs Manager is responsible in all facets for business affairs for all social and digital work within the integrated production department. 

ACCOUNTABILITIES: 

  • Work with producers to create accurate estimates and assess talent requirements per project.
  • Independently support producers on Low/mid-level with according budget stakes non-union productions.
  • Support VP on High Stakes / High budget on union or non-union Productions.
  • Liaison and work with our clearance service to vet anything required related to an execution.
  • Experience working on social, influencer and digital productions.
  • Knowledge and experience in online and social media usage and rights in all facets for business affairs for all social and digital work within the integrated production department.
  • Work together with supervisor, to support oversight of the Social Creative Lab to ensure the team is following process for vetting all materials created for any infringement risks.
  • Work with each producer to provide accurate production estimates.
  • Advise account team on talent and third- party rights agreements that will come up for expiration so account may discuss with client's future plans for release or renewal.
  • Oversee drafting of purchase orders, production contracts, releases, affidavits, music rights agreements and other production/vendor documents together with agency legal counsel.
  • Oversee all project assigned production and talent residual vendor invoices and after reviewing for accuracy, codes and uploads invoices through JIRA for A/P to process.
  • Manage the freelance editorial timesheets and payments Vet fonts through legal for review on a case by case basis.
  • Resolves production billing-related questions from staff, clients, vendors, and performers.
  • Understanding of insurance requirements and special insurance needs when needed for non- appearance, high risk productions, foreign productions, weather insurance, drone insurance.
  • Work with production companies and all third- party vendors in obtaining all COI's or working with client's insurance companies to provide insurance to vendors when needed.
  • Ensure that all vendors meet our insurance requirements and provided the required COI's.
  • Support on-boarding and setting up freelance crew within Extreme Reach Crew Services payroll company.
  • Be familiar with the network clearance process–work with media, third-party vendors, account management, producers to provide any assistance
in the process.
  • Knowledge in traffic procedures and provide guidance when needed depending on accounts.
  • Experience working with Third-party payroll companies and ability to create all necessary session and usage payments for processing through the payroll company.
  • Knowledge of copyright and licensing of rights as about commercial usages and upon on our client's needs and layout requirements.
  • Ensure appropriate rights are secured to protect the agency and client from any potential infringements Be the first point of production review of potential legal issues.
  • Referral to legal and specialty clearance partners for review of properties, contracts and labor issues. Work with producers and A/P to set up new vendors.
  • Uploads all contracts for archival purposes. Build any other responsibilities assigned by supervisor. 

EDUCATION  | EXPERIENCE: 

  • 3-4 years of hands-on experience in a business affairs department at a digital or traditional advertising agency.
  • Experienced in working on social, influencer and digital projects and familiar with latest social platforms.
  • Experience working in Nexelus.
  • Experience working collaboratively with producers, account teams, finance, legal and ops staff. 

PHYSICAL DEMANDS and SPECIAL CIRCUMSTANCES: While performing the responsibilities of this job, you perform manual tasks. You communicate verbally and phone. Visual acuity is required including color, depth perception, and field of vision. 

WORK ENVIRONMENT: This job is performed in a traditional office environment. While performing the responsibilities of this job, you may work with weather conditions prevalent at the time. The noise level in the work environment is usually minimal. 

 

Qualifications

 

  • Knowledge of licensing terms and clearance requirements as they pertain to all advertising usages, permissions and clearances. ·
  • Knowledge of general labor laws and guidelines for production and working knowledge of requirements and rules for working with minors. ·
  • Knowledge of PRO rights and music societies such as ASCAP, SESAC and BMI. ·
  • Worked with client and agency teams. ·
  • Demonstrate the ability to amend and manage databases. ·
  • Understand AICP/AICE rules. ·
  • Proficiency in traditional and digital advertising and some knowledge of print.
  • Familiarity with FTC rules ·
  • Can explain complex issues in writing and verbally. ·
  • Must remain calm during stressful situations while managing, organizing and a variety of details in situations.
  • Work with Extreme Reach Payroll Services.
