    Job Description

    The Marketing Integration Co-ordinator’s responsible for supporting the Xcelerator and Growth Office on all day-to-day administrative duties.

    He or she is an administrative wizard, a client service professional and the first point of call for the Xcelerator facility.

    The incumbent manages all the Deloitte Xcelerator enquiries and bookings as well as the project management process from the initial enquiry, booking the vendors as well as dry run and execution of the event, ensuring the execution of the event is at the highest level and ensures the client leaves having had a memorable experience.

    Responsibilities include:

    • Managing and updating Growth Office (GO) calendars and distribution lists
    • Supporting .com Mailbox
    • Arranging GO Townhalls and internal GO events (Book venues, manage agenda, book catering and relevant tech support)
    • Follows the Xcelerator Project management/engagement process as seen below:
    • Working collaboratively with leaders and team members with ad-hoc administrative support.
    • Supporting where required on travel bookings.
    • Supporting where required on reporting and presentations

    Strategic Impact

    • Deals with day-to-day matters on behalf of superiors in order to allow for their focus to be on strategic issues
    • Makes some judgements on behalf of Partner/Director to redirect queries to relevant parties

    Budgets & Profitability

    • Effectively uses time, equipment and resources
    • Uses initiative on planning of travel, events, etc. where possible to ensure cost effective use of  time
    • Maintains accurate record of expenses, invoicing and timesheets on behalf of the Partners/Directors, and submits these timeously. Assists management with this as directed

    Operational Effectiveness

    • Manage day-day operations and delivery to stakeholders
    • Manages the planning and changes to diaries and liaises with superior on prioritisation
    • Ensures efficient time management within the diary to allow for travel to and from appointments, breaks between meetings, meal times, private matters, etc.
    • Provides superiors with relevant support documentation as preparation for meetings, engagements, etc. and maintains a record of these for reference
    • Filters general information, queries, phone calls, emails, and refers to relevant individuals where appropriate
    • Responds to email / mail directly where possible and drafts correspondence for approval as needed
    • Maintains strict confidentiality of all matters relating to the daily workings of the area
    • Liaises with internal staff and external providers on provision of required services i.e. IT, event management, marketing services, legal, etc.
    • Coordinates travel bookings and itineraries, both local and international
    • Prepares presentations for approval as required

    Project Management

    • Receives enquiries and responds timeously.
    • Co-ordinate and manage the Xcelerator calendar to ensure cohesion and eliminate conflicts.
    • Schedules, kick-off, dry run, artist briefing, Lab and post Lab meetings.
    • Note and order catering and any other requirements in accordance with client requirements (food, beverages, toys, props, experience, tech etc.).
    • Manages external vendors.
    • Sends and receives signed cost estimates.
    • Creates and sends client invite.
    • Ensures clients have Kenai access to the building.
    • Coordinate catering and bar staff on the day. 

    Experience Design / Event design

    • Xcelerator session experience design when needed

    Qualifications

    Qualifications & Experience

    • National Diploma in the relevant area
    • 5 Years Experience

    Additional Information

    • This is a Consultant level role
    • The role is based in JHB
    • Hybrid work model. You will be required to be at our offices 2-3 days per week
    •  Willing to travel to clients (where required)
    • Preferable start date: As soon as possible
