Job Description

This role will be responsible for providing critical support to the firm and its practitioners in respect of all firm independence related matters through:

  • Implementation of processes to ensure that Confirmations are completed on a timely basis
  • Timely, complete and accurate execution of all interim and annual confirmation processes.
  • Implementation of processes to ensure that service requests are addressed on a timely basis
  • Monitoring of SRM system to ensure timely closure of Service requests
  • Co-ordination of MF and Global review of breach documents
  • Maintenance of breach logs
  • Supports the implementation of strategy of the QIRR Independence Area in relation to specific area of expertise
  • Develop, update, and maintain systems, templates and processes and manuals.
  • Liaising with various service lines and independence teams across Deloitte Africa.
  • Provide reporting to DOI on a regular basis.
  • Roll-out of communications with respect to subject matter areas in line with the communication strategy.
  • Providing guidance, monitoring and supervision of those reporting into the role.
  • Supports the implementation of strategy of the QIRR Independence Area in relation to specific area of expertise
  • Drives the implementation of strategy within area of responsibility by conforming to plans set by the Director of independence in area of responsibility:
    • Drives the talent, process and technology capabilities within Independence function
    • Drives continuous improvement of processes and controls related to areas of responsibility
    • Systems of quality control processes
    • Manages the overall Confirmations, SRM, Breaches functional areas including the risk management of key areas of operational risk, planning and resourcing for each financial year and strategic development by creating eminence and being known as custodian of driving an independence culture
  • Grows network with key players and builds long-term relationships
  • Stay abreast with the latest developments and requirements, and ensure that Deloitte Africa practitioners are up to date and informed
  • Proactively support the Director of Independence on addressing and responding to emerging issues and actively contributes to developing an independence culture more broadly in the business.
  • Confirmations:
  • Ensure that Deloitte Africa implements processes relating to confirmation processes, including special confirmations (e.g. partner office moves, new leadership appointments, contractor forms and independence confirmations when providing professional services to Restricted Entities), based on the DPM 1420 requirements and templates and guidance issued by DTTL Senior Managing Director–Global Independence
  • Ensure timely, complete and accurate execution of all interim and annual confirmation processes, including planning, communication, roll-out, finalisation, recons, reporting, set-up of system, Africa processes, reviews, meetings with Exco etc.)
  • Ensure guidance and manuals are current at all times.
  • Advise the DOI, COO and Chief Risk Officer on any new developments relating to Confirmations.
  • SRM:
  • Ensuring that Deloitte Africa implements processes to ensure that service requests are addressed on a timely basis (required by DPM 1420 Chapter 9 and per Global Independence Group practices and guidelines).
  • Continuous improvement of Member Firm processes related to Service requests
  • To ensure that DESC Services are being monitored.
  • To ensure that adequate training and guidance is provided to staff and Deloitte employees (including attending DESC Services and DOI Global Calls)
  • To assist management with policy and procedure updates to align to Global requirements and changes
  • To assist Management with any reporting requirements relating to DESC Services (SRM)
  • Breaches:
  • Co-ordination of MF and Global review of breach documents
  • Maintenance of breach logs
  • Implement and continuously improve the controls and processes to ensure breaches are addressed in accordance with the DPM requirements
  • E-Learning:
  • Ensuring that Deloitte Africa implements processes relating to e-learning, based on the DPM 1420 requirements and templates and guidance issued by DTTL Senior Managing Director–Global Independence.
  • To oversee and monitor the processes of the learning administrator to ensure compliance with DPM and other Global requirements.
  • Implementation of an effective escalation and disciplinary process
  • Ensure effective team delivery in projects and workflow by providing coaching that is constructive, insightful and focused on strengths.
  • Manages all aspects of talent management for the area of responsibility within the Independence team (Assistant managers, and analysts).
  • Actively manages the retention of junior staff and high performing analysts and coaches underperforming talent to correct level of performance.
  • Ensure that learnings identified are taken to the business through e-learnings, in person training, presentations and or firm communication.
  • Ensure that any Global mandated communications are drafted and shared with the business in line with the QIRR Communication Strategy
  • Identify issues and potential impact of independence standards/requirements on the business and decides how best to communicate these to the business. 
  • Prepare and present specific topics for the business.
  • Drafts reports, summaries and notifications to assist the DOI with engagements with Global.
  • Adhere to all reporting requirements timely.
  • Executes monthly, quarterly and ad-hoc/bespoke reporting under direction of the DOI.
  • Compliance with ISQM 1 processes where designated as the control/process owner.
  • Adhere to reporting requirements/ queries related to regulatory/internal reviews.

Qualifications

Minimum Experience and Qualifications

  • 5 years working experience (at least 2 years in a manager role)
  • Proven project management skills

Desired Experience and Qualifications:

  • Relevant business-related tertiary qualification:
    • A compliance, risk, audit, or independence background
    • Professional service delivery
    • Understanding of a regulatory environment and ability to interpret and apply technical rules in a practical way.
  • 3 years in a manager role
  • Knowledge of risk and independence aspects affecting the audit environment would be an advantage.
  • Knowledge of relevant Deloitte Policy Manuals on Independence would be an advantage (if you are a Deloitte internal candidate
  • Hands-on independence experience and a good understanding of independence in a professional services environment and the application of Independence management methodologies would be an advantage.
