Job Description

Main Purpose of Job

To independently deliver an efficient and effective internal administration and support service to all relevant stakeholders with a focus on quality and timeliness

Key Performance Area's

Pre Screening

  • Ensure that all students applications are processed timeously and according to guidelines
  • Application follow up to ensure timeous application processing as per the stipulated timelines
  • Ensure all necessary documentation verification is completed  prior to assessment attendance

Grade Capture

  • Ensure that national timelines regarding mid-year and year end grade capture are met
  • Ensure students records are accurate and up to date to allow students to complete the required grade capture process
  • Actively follow up and source outstanding results to meet deadlines

Reporting

  • Responsible for submitting weekly core metrics report to the Regional Manager
  • Responsible for adhoc reporting as required, including compiling the recruitment reports required by Audit leadership and HR teams

Data Clean and Fresh

  • Handles all student queries
  • Takes full responsibility for the accuracy of the data on the recruitment management system
  • Focuses on innovation within daily operations to ensure data integrity
  • Ensure that all relevant processes are handled on a monthly and annual basis

Relationship Management   

Form and maintain relationship with all relevant stakeholders in order to:

  • Resolve queries
  • Push information
  • Pull information
  • Adopts a philosophy of being a constant brand ambassador as Deloitte first point of contact with candidates

New Hires Process   

Take ownership for accurate collection and capturing of data related new hires

  • Clear and concise communication to all stakeholders
  • Weekly reporting
  • Focus on query and problem resolution
  • Responsible for forwarding communication to Honours/CTA students relating to all new hires events
  • Attendance at the New Hires events
  • Responsible for onboarding checks and processing at New Hires admin days
  • Flexibility in terms of ad hoc roles in on-boarding

Financial Contribution

  • Verifying of all necessary data, including results as well as personal and financial information of students and parents
  • Accurate processing of the Financial Contribution applications
  • Responsible for providing additional information on special candidates in the Financial Contribution process, aligned with the AGR criteria, where requested by regional manager
  • Clear communication with the Financial Manager and Financial Administrator
  • Responsible for the collection and collation of data and information relating to bursary cancellations
  • Setting up bursary cancellation meetings
  • Documentation collation for all cancelled bursaries
  • Responsible for all contractual processes, including accuracy, distribution and collection
  • Responsible for the facilitation of manual contract signing processes with students and regional manager, and ensuring that status updates are accurately recorded after contract uploading

Assessment Centres 

  • Event planning and co-ordination of all regional assessment centres and ensuring smooth co-ordination of the event
  • Responsible for all vendor communication and liaising with internal maintenance staff
  • Ensure all processes have been followed to allow to ensure that the assessment centre runs smoothly using all required technology
  • Responsible for the diary management for assessors
  • With support of regional manager, ensure necessary staffing for successful running of AC.
  • Responsible for all post assessment centre data updating (incl verbal communication and contract generation)
  • Responsible for contacting no-show candidates and rescheduling assessment date where required
  • Responsible for the facilitation of manual contract signing processes with students and regional manager, and ensuring that status updates are accurately recorded after contract uploading

Performance Awards/School Awards

  • Responsible for the preparation of performance awards documents, for Regional Manager to sign
  • Collate monthly/quarterly nominations for students as part of the reward programme

Vacation Programme/Job Shadowing

  • Vac application communication to candidates
  • Vac query management
  • Input and assistance with vac planning and co-ordination of the programme
  • Attendance at all vac meetings
  • Responsible for the planning of selected vac facilitators in collaboration with Regional Manager
  • Responsible for all venue books and co-ordination of catering required for programme
  • Attendance at all regional vac programmes
  • Focus on relationship building and maintenance where suitable
  • Vac work communication to students, vac buddies and audit managers
  • Vac work documentation and liaison with ICS departments where needed
  • Responsible for vac work students to audit and follow up on attendance for payment purposes
  • Responsible for payment process and query handling
  • Responsible for programme evaluation collation and feedback to Regional Manager
  • Responsible for programme wrap up and feedback to respective teams
  • Facilitating and coordinating of job shadow requests
  • Compiling feedback from all parties (candidate and business) for submission to regional manager

Referral Programme 

  • Adheres to the firms referral integrity policies
  • Ensures that all referral information is captured and updated on Merlin
  • Ensures that all referral leads are forwarded to the Regional Manager for action

Events

  • Assisting the regional manager with event planning and co-ordination when needed, including school visits
  • Ensure attendance at events where applicable
  • Responsible for RSVP follow up at events (where M&E team is not involved)
  • Responsible for the all payment processing on SAP relating to events where M&E are not involved
  • Focus on relationship building and maintenance
  • Responsible for event calendar collation and updating

Finance        

  • General SAP processing and finance requirements where necessary
  • Facilitating vendor loading onto the SAP system and vendor liaison

 

Qualifications

Minimum Qualifications and requirements

  • National Diploma in relevant function (3 years)
  • Namibian Citizen

Desired Qualifications

  • Degree

Minimum Experience

  • Three to Five years' experience within a similar function

Desired Experience

  • Experience preferably within professional services
