Main Purpose of Job

To provide an effective and efficient administrative and secretarial support service to directors and a team.

Key Performance areas:

Strategic Impact

  • Deal with day-to-day matters on behalf of directors/senior managers/team to allow their focus to be on achievement of strategic objectives
  • Make judgements that relate to common queries without reference to management

Client Impact: External / Internal

  • Liaise with clients/external staff on behalf of superiors as directed
  • Attend to client requests as directed by management
  • Build a rapport with client staff/external providers

Operational Effectiveness

  • Liaise with management regarding setting of meetings, prioritisation, etc.
  • Diary management
  • As directed, source documents/information required for meetings and maintain a record of these for reference
  • Filter general information, queries, phone calls, emails, and refer on to relevant individuals where appropriate
  • Respond to email/mail directly where possible and prepares correspondence for signature as needed
  • Maintain confidentiality of work matters
  • Liaise with internal staff and external providers on provision of required services on request i.e. IT, event management, marketing services, etc.
  • Coordinate travel bookings and itineraries, both local and international
  • Draft and format documents and presentations for review as directed by directors and team.

Development/Growth of Team

  •  Remain updated on issues relating to the Service Area
  • Focus on own development areas

Budgets / Profitability

  • Plan travel, events, etc. within strict guidelines of business 
  •  Draft accurate record of invoices/PR's/recons and submit these timeously
  • Effectively use time, equipment and resources

Qualifications

Secretarial Diploma with 3 plus years’ experience in a secretarial role within a professional services or related environment.

Experience supporting multiple stakeholders and teams.
