Job Description

Position title: Communications & Engagement Coordinator

Location:  Based at our Vancouver office

Reporting to: Director, Communications & Engagement

Terms: Permanent, full-time (34 hours/ 4-day week)

As the Communications and Engagement Coordinator you play a key role in successful relationship management and smooth day-to-day operations for the Communications and Engagement Department.

Responsibilities

Team coordination and internal communications: 

  • Coordinates recurring financial, administrative and operation processes. Establishes timelines, clarifies deliverables and sets deadlines.
  • Flags team health concerns or trends and works with the Director and Managers to maintain team cohesion
  • Manages orientation and on-boarding of new department employees
  • Executive assistance for the Director primarily focused on calendar management
  • Implements policy changes and supports team with roll out of new tools and processes 
  • Plans large departmental events, including multi-day retreats. Establishing and managing event budget, booking venues, coordinating travel, planning food, etc.
  • Books standing team meeting invites and ensure guest list and availabilities are up to date
  • Acts as the interface between the department and the Finance, Development, Human Resources, and Digital/IT teams
  • Works with the other departmental coordinators and Finance/Development departments to ensure consistency of practices across the organization

 Public engagement, event and volunteer support:

  • Supports the DSI and Greystone publishing committee partnership
  • Plans ad-hoc external events in collaboration with the Development and Public Engagement teams
  • Supports public engagement initiatives such as Suzuki Speaks, Suzuki Elders, Butterflyway Project, Queen of Green and others
  • Manages ad-hoc external partnership opportunities aligned with DSF’s values and goals

Digital communications coordination

  • Coordinate weekly Science Matters column distribution on social, email and web in collaboration with the Senior Editor
  • Support the publishing and distribution of press releases on digital channels with the oversight of the Communications Manager
  • Manage oversight of event calendar and publish postings to event web page and social channels
  • Other digital communication responsibilities and opportunities

Financial and Administrative Responsibilities 

  • Supports managers in flagging budget over/under-spends and variances
  • Clarify and continuously improve processes for invoice processing, Visa and OOP reports, contracts, cost recovery and travel booking
  • Ensures expenses are processed and coded to appropriate projects and teams
  • Ensures signing authorities and Visa limits are established, updated, and adhered to
  • Support the training of team members on financial tools and processes
  • Manages restricted funds and supports donor relationships, when applicable

Qualifications

Experience:

  • 1 – 3 years of progressive administrative experience
  • Strong personal interest and commitment to the Foundation’s mission and vision
  • Excellent written and spoken English required.  French language skills are an asset.
  • Practical experience with Microsoft Office applications required
  • Strong technical problem solving skills with standard office computer network issues, peripherals and telecoms tools required
  • Experience managing finances and expense processes
  • Digital skills required: social media and word press experience (an asset)
  • Experience managing budgets and expense processes  
  • Candidate must be friendly, personable and able to build harmonious working relationships with clients, co-workers and the general public
  • Able to perform administrative duties with deliberate speed and accuracy and without immediate and constant supervision 
  • Sound judgment and decision making skills, with flexibility to immediately adjust work plans to complete tasks that arise on an urgent basis
  • Ability to provide support to a team within a fast paced environment by taking initiative, prioritizing needs and meeting tight deadlines
  • Highly organized with the ability to prioritize tasks effectively
