About the role:

Digital & IT maintains the smooth running of the Digital & IT processes and systems while creating and maintaining strong working relationships with all members of staff, interns and volunteers.

Responsibilities:

Executive Assistance to the Director:

  • The Coordinator contributes to the effectiveness of the Director by coordinating their time and providing highly effective administrative support on an as needed basis.
  • Organizes the Director’s calendar; clarifying priorities and required materials for appointments, meetings, conferences, and coordinates all travel arrangements.
  • Sorts and prioritizes correspondence. Ensures that time-sensitive items are highlighted and brought to the Director’s attention. Follows through on critical or time-sensitive messages.
  • Prepares correspondence, presentations, statistics and reports, working with materials for the Director’s approval.
  • Provide accurate document management support by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts and proposals.
  • Supports Director to provide timely support, recognition and performance feedback to his direct reports as may be needed
  • Takes action authorized during the Director’s absence, using initiative and judgment on matters requiring attention and decisions

Department Coordination/Support:

  • Assists team with budget development, maintenance and record-keeping throughout the year. Works with Director and Project Leads to code invoices and team expense to appropriate funders. Maintains budget records and filing systems for reporting needs.
  • Maintains general team coordination for necessary deadlines, meetings, action items, etc.
  • Maintains contract records, database management, contact lists, etc., for the team.
  • Ensures that weekly IT and Digital updates are sent in a timely manner
  • In partnership with the Communications Co-ordinator, provide Sharepoint leadership to other department co-ordinators
  • Support and/or create IT training materials as directed.

Other duties as required

Perform addition functions as directed or assumed on personal initiative:

  • Provides recommendations that seek to continuously improve the systems and processes employed by departments.
  • Contributes to annual goal setting for each department.
  • Responsible for continuously expanding and updating professional knowledge and honing skills in order to enhance individual and team innovation and productivity.

Qualifications

Education and Experience

  • Excellent organizational skills generally acquired through the completion of a two year diploma program or equivalent experience in administration, Digital, IT or business. Knowledge of accounting, IT, and Digital.

Skills and Abilities

  • Two years demonstrated experience in executive assistance, team coordination and project and budget administration. Able to troubleshoot computers and networks. Excellent communications, leadership and coordination skills. Demonstrates sound and mature good judgment.
  • Understanding of core Digital and IT functions
  • Personal values well-aligned with those of Foundation: demonstrated through work or community involvement.
  • Good problem solver that sees problems as opportunities.
  • Able to deal with sensitive situations and confidential information and apply excellent judgment, diplomacy and discretion in all situations.
  • Develops effective and trusting relationships with all staff; is approachable and open to the views of others.
  • Able to work quite independently and model a collaborative work style.
  • Able to anticipate needs and takes action to meet their expectations.
  • Excellent written and spoken English. French language skills are an asset.
  • Proficiency and comfort with technical systems – Word, Excel, Outlook, SharePoint. Salesforce experience considered an asset.
