Job Description

REMOTE ROLE - CANDIDATE CAN BE LOCATED ANYWHERE IN THE CENTRAL OR EASTERN TIME ZONE

The Business Development Assistant is responsible for supporting the smooth day-to-day running of the firm. Reporting to the Managing Partner and working with other Partners in the firm.

Primary Responsibilities:

Scheduling 

  • Organize meetings internally and with clients and software partners. Ensuring appropriate space is reserved or conferencing details have been shared, materials are prepared, and setting up calendar invites using Google Calendars for the meeting itself and any prep meetings required.

  • Manage calendar for the Managing Partner and other Partners, as needed

  • Coordinating scheduling of meetings with software partner representatives and alliance managers for recurring and periodic meetings

  • Scheduling interviews with candidates and inclusion of Zoom conference links

Meetings-Notes and Agendas

  • Ensure that department meetings have a clear agenda and that this is circulated in advance of meeting start

  • Attend client meetings and take notes and distribute accordingly in a timely fashion, clearly outlining key points and action items.

  • Minute taking for internal meetings, listing action points, and tracking day to day.

Internal System Administration

  • Create logins for new hires and new users in Google Suite as approved by the CFO

  • Conduct training for new hires and new users for Google Suite, as needed

  • Ideally, conduct daily checks on SFDC to ensure that the system is being kept up to date and follow up with the team for entries on a weekly basis

  • Provide recommendations to improve the CRM data collection          

  • Ensure access is removed for leavers or where the role no longer requires visibility

  • Zoom license administration

New Hire Onboarding 

  • Create first month onboarding schedule to be published on first day in partnership with the new hires direct manager

  • Be the first point of contact for new hires during their first weeks to help troubleshoot, update LinkedIn, email signatures, etc.

Customer Relationship Management

  • Working with Marketing, update CRM system with touches on potential clients

  • Manage partner relationship strategy and touchpoints with partner representatives

  • Take point on coordinating follow-ups with potential and current clients and client-specific approaches

Qualifications

Your skills and experience

We’re keen to hear from a range of applicants who can demonstrate some, or all, of the following skills and experience:

  • Minimum 4-years of experience of working within business development or similar administrative function

  • Organized with attention to detail

  • Ability to see tasks through to completion

  • Experience of working to tight deadlines

  • Excellent communication skills, with a demonstrable aptitude for clear written and verbal communication

  • Working knowledge of MS Word, Excel and Google Docs/Suite

  • Experience of working within the data industry and Salesforce.com experience is preferable but not essential

  • Experience working within the consulting, legal or accounting services industry is preferable but not essential
