Job Description
The Security Administrator – Compliance and SeMS (Security Management System) Support provides administrative, analytical and operational support to the Security Manager and wider Security Department. The role focuses on maintaining accurate records, managing documentation, analyzing data, and preparing reports and presentations, coordinating departmental activities and supporting compliance programmes across the business. The successful candidate will also assist with the ongoing administration and development of the Security Management System (SeMS), audit preparation, document control and continuous improvement initiatives.
This role is ideal for an organized, detail-oriented individual with strong Microsoft Office skills, particularly Excel and Word, who enjoys working with data, documentation and business processes within a fast-paced operational environment.
Key Responsibilities:
- Provide administrative support to the Security Manager and wider Security Department.
- Maintain departmental records, trackers, databases and filing systems, ensuring information remains accurate and up to date.
- Analyze large datasets using Microsoft Excel to identify trends, inconsistencies, overdue actions and opportunities for improvement.
- Produce weekly and monthly reports, dashboards, presentations and management information.
- Prepare meeting agendas, minutes, action trackers and follow-up documentation.
- Coordinate document control activities, including version control, approvals, distribution and review schedules.
- Support compliance activities, audits and inspections by maintaining records, coordinating evidence and assisting with corrective actions.
- Assist in the administration and continual improvement of the Security Management System (SeMS), including maintaining documentation, action plans and supporting evidence where required.
- Support departmental projects and process improvement initiatives, including opportunities to automate or digitalize manual processes.
- Maintain confidential records and handle security-sensitive information appropriately.
- Carry out additional administrative and analytical duties as reasonably required by the Security Manager.

- Continuous improvement of administrative processes through efficient use of Microsoft 365 tools.
Qualifications
Essential
- Advanced Microsoft Excel skills, including PivotTables, formulas, data analysis, filtering, lookups and working with large datasets.
- Strong Microsoft Word skills, including formatting professional documents, reports and procedures.
- Good working knowledge of Microsoft Outlook, Teams and other Microsoft 365 applications.
- Excellent organisational and administrative skills.
- Strong analytical skills with the ability to review and interpret data.
- High level of accuracy and attention to detail.
- Ability to prepare reports, presentations and management information.
- Strong written and verbal communication skills.
- Ability to prioritise workload and manage multiple tasks effectively.
- Ability to maintain confidentiality and manage sensitive information appropriately.
- Proactive approach to problem solving and continuous improvement.
Desirable
- Experience using SharePoint, Power BI, Power Automate or other Microsoft 365 applications.
- Experience developing dashboards or management reports.
- Experience working with document control systems.
- Experience coordinating audits, compliance activities or improvement projects.
- Experience within aviation, manufacturing, logistics, food production or another regulated environment.
